Change the order's terms on WhatsApp

Change payment terms, payment method, freight, carrier, note and discount on the quote by talking to Dri on WhatsApp, without opening the screen.

Where to find it

In the conversation with Dri, about the quote that is open in that conversation: the one she just built or the one you are working on. You say the change in text or by audio and she saves it straight to the quote, without opening the screen. With no quote open there is nothing to change: build the quote first.

The terms are the ones in the quote's header, the same ones you adjust on the quote screen: payment method, payment terms, freight, delivery, notes and the others listed below. Items are not covered here: changing an item or a quantity is something else (see Build a quote by text on WhatsApp).

The terms you can change in the conversation

There are ten, and a few ways to ask for each:

  • payment method: "change the payment method to boleto", "switch to pix", "billing is boleto BB";
  • payment terms: "change the payment terms to 30/60/90", "make it cash", "28-day terms";
  • note: "add to the note: deliver in the morning", "delete the note";
  • freight: "change the freight to FOB", "CIF freight";
  • carrier: "switch the carrier to Braspress", "no carrier";
  • delivery forecast: "the delivery forecast is 20/09";
  • customer's purchase order: "the customer's PO is 4512";
  • freight cost: "the freight costs R$ 150";
  • price table: "use the wholesale table", "go back to the standard table";
  • order discount: "give a 5% discount", "remove the discount".

Each saved change comes back confirmed with ✅ and the new value, for example ✅ Payment terms: 30/60/90. When the change affects the price (payment terms, table or discount), the reply also shows the new total and the previous one, on the 💵 Total: line.

Say the value the way you would speak it

Send the value the way you say it: "boleto", "30/60/90". You do not need to know the code or the exact registered name: Dri searches among the options that store's screen offers.

  • Only one option matched: she saves it.
  • More than one matched: she sends back the options numbered and asks which one. Reply with the number or with the option's full name.
  • None matched: she says she did not find it and lists some options that exist, as in I didn't find "check" among this store's payment methods. There is: …

If you only name the term, without the value ("change the carrier"), she asks for the value, for example Which carrier? or What payment terms? (e.g.: 30/60/90, 28 days, cash).

Several terms in the same message

You can ask for more than one at once, with the quote already open in the conversation: "payment terms 30/60/90 and payment by boleto BB", "FOB freight and carrier Braspress". Dri applies all of them, in the order you said them, and replies in a single message, one line per term.

  • If one of them is ambiguous, she applies the others and asks only about that one, always last in the reply.
  • If two are ambiguous, she asks about the last one and names the other on a line such as ⚠️ The payment method still needs to be chosen. Tell me and I'll adjust it.
  • One message applies at most six terms. Anything beyond that is not applied and is named: ⚠️ I didn't touch … in this message. Send it again and I'll adjust it.

Terms written with the items

It depends on the moment: in the message that creates the quote, payment terms, payment method and freight go in; with the quote already open, items and terms need separate messages.

In the message that creates the quote, write the payment terms, the payment method and the freight together with the items ("terms 30/45/60, boleto, CIF") and they go into the quote that is created. Payment terms or a payment method Dri did not understand become an issue for you to check on the quote, and a field locked in the customer's record keeps the record's value. The details are in Build a quote by text on WhatsApp.

Two things written with the items do not go in at creation:

  • the discount on the whole order ("50% on everything"): after the quote comes out, send "give a 50% discount";
  • terms written in a photo's caption, EXCEPT payment terms and discount: in some accounts Dri reads those two from the caption (or from the message right before the photo) and applies them to the quote the photo generates. Payment method, carrier, freight and note still go in a message afterwards. See A quote from a photo, PDF or spreadsheet on WhatsApp.

⚠️ With the quote already open, do not mix terms and items in the same sentence. "Add 3 boxes of AB10009 and change the terms to 30/60" combines two different actions, and only one of them is carried out; the other is left out without warning. Send the item in one message and the terms in another.

Payment method and payment terms

The payment method follows what your store's screen shows. In a store whose order goes to the ERP with the billing method, the list is the billing methods registered in that store's ERP. In other stores, it is Vendria's standard list of payment methods. A store with more than one ERP connection does not have a single list: there Dri asks you to choose on screen.

The payment terms accept days separated by slashes, cash and a down payment: 30, 30/60/90, DOWN PAYMENT + 30/60, 28 days. Text that does not turn into payment terms is refused: Payment condition '…' is not a payment schedule the ERP can save. The screen refuses the same text, with a different sentence. Since payment terms can change the price, the reply shows the new total when it changed.

The note has a type and a mode

The quote has more than one note box, and each one has a reader:

  • Order note: the customer sees it;
  • Internal note: only the team sees it;
  • Billing note: goes to the order in the ERP. It only exists in stores whose integration receives that field.

If you only say "note", Dri asks which box, with the options that quote's screen shows. Say it directly to skip the question: "internal note: customer asked for urgency".

The default mode is to append to what is already written. To replace the whole text, say "replace the note with…"; to clear it, "delete the note". A text that would go over the size the box accepts is refused whole, instead of being cut in the middle.

Freight, carrier and delivery

The freight accepts the options your store's screen shows: CIF, FOB and CIF/FOB (transshipment) in stores whose ERP has that freight mode; CIF or FOB in stores with a TOTVS ERP; in the others, the invoice's freight modes. Transshipment only exists where the store's ERP offers it.

The carrier comes from the store's list of carriers; "no carrier" removes whichever one is on the quote. The delivery forecast accepts the date the way you say it ("20/09") and comes back confirmed with the year, as ✅ Delivery forecast: 20/09/2026.

In some stores the delivery forecast or the freight cost are not kept on the quote, because the ERP order does not receive them. In those cases Dri warns you instead of saving.

The discount here is for the whole order

The discount field is the manual discount on the whole document, as a percentage, between 0 and 100. A discount on one item is not this term: adjust it on the line, on screen.

If your store has a discount cap for the seller, a discount that goes over it is refused and the reply says why. Only what goes beyond the quote's automatic discount counts, added to the discount already given on the items. The cap is set by the administrator (see Desconto máximo do vendedor: o teto de concessão por loja).

"Remove the discount" removes the manual discount and replies ✅ I removed the manual discount.

When Dri does not change the term

  • There is no quote open in the conversation: There's no quote open in this conversation for me to adjust. Build the quote and then tell me what to change.
  • The quote is no longer a draft (confirmed, rejected, canceled): That quote is no longer a draft, so its terms can't change anymore.
  • The quote expired: That quote expired. Open the quote and change what you need: it goes back to draft and the next send goes out with a new validity period. See The quote's validity period, and what happens when it expires.
  • The proposal is with the customer: The proposal is with the customer. Open the quote and change it there: it goes back to editing and the sent version stops being valid. See Edit a sent proposal: reopen, revise and resend.
  • The value was already that: she says it was already like that and saves nothing.
  • The discount came in the message that created the quote: it is not read. Send the discount in a message after the quote comes out.

What is NOT an order term

  • Changing the customer: that is choosing a customer ("it's for Casa Modelo"), and it recalculates the document's discount. See Choose the conversation's customer on WhatsApp.
  • Changing the quantity or the product of an item: that is working on the item.

Common questions

Does the discount I ask for apply to the item or to the order? To the whole order.

I asked for payment terms and payment method in the same message and only one changed. Why? Check whether the reply has a question at the end: the ambiguous term is waiting for your choice. If the sentence also asked for an item on an already open quote, send the terms again, on their own.

I wrote the payment terms with the items in the order. Do they go in? Yes, if it was in the message that created the quote. Without an identified customer, the creation reply does not show the 💳 line with the terms: check the quote. With the quote already open, send the payment terms in a separate message.

If I say I prefer boleto 28 days, does it apply to the next quotes? No. The term applies to the quote open in the conversation. With no quote open, build the quote first. Each customer's default is in their record (see Ficha do cliente: editar dados e padrões comerciais).

Can I answer the numbered question with the name? Yes, with the number or with the option's full name.
