The seller's quote list: what shows up, the filters and the search

For sellers: Vendria's Quotes and Orders list, what each card shows, how to filter and search, and how to find a quote that went missing.

For: Seller and Administrator

Where to find it

In the menu, under Quotes. The page is called Quotes and Orders: the quote and the order are the same document, and the list shows both: what is still a proposal and what has already been confirmed.

At the top are the buttons that create a document: Import Quote with AI (you send the customer's order (photo, PDF, spreadsheet) and the quote is born with the items already matched to the catalog) and New Quote, which takes you to the Catalog to build the quote item by item.

Which quotes the seller sees

It depends on how you work with the company:

  • Seller of the company itself: you see the quotes and orders of the whole company, not only those of the customers in your portfolio. That is what lets you find the order you typed on behalf of a sales rep.
  • Sales rep: you see the quotes of the customers in your portfolio and the ones in your name. If you are a Partner or Administrative member of the rep agency, you also see your team's; and, depending on what the rep agency agreed, the ones in its queue with no seller.

In both cases, only the company's active stores that sell through the web portal count. If the sales rep has a mandate for only some stores, they see only those.

How to read a card in the list

Each quote is a card with the customer's name, the number (COT-… or ORD-…), the version when it went past the first (v2, v3…), the store, the date and the total. The badge with the document icon says where the document stands in Vendria:

  • Draft, Waiting, Confirmed, Exported, Rejected, Cancelled, Expired;
  • Waiting for customer · 3 days ago: the frozen proposal is with the customer;
  • Under revision: the proposal has already gone to the customer and came back for your company to edit; the next sending goes out as the following version;
  • Received from the buyer · 2 days ago: the buyer built it and sent it through the portal, and is waiting for an answer.

When the store sends orders to the ERP, a second badge appears next to it, which starts with the database icon and the word ERP, and says where the order is in the ERP. The badge's color is the state's: gray while everything is on time, amber when the order has not reached the ERP yet or the import is late, red when the order did not get in and green when it was imported. Amber does not always call for action from you: on retrying and sending Vendria is handling it on its own.

  • sends on confirm: it is not an order yet;
  • not sent yet: confirmed and not sent yet. The Send to ERP button is on the order page;
  • sending;
  • awaiting import: it reached the ERP and is waiting for someone there to import it;
  • import delayed · 17 h ago: it reached the ERP and the import went past the normal time. Chase whoever imports the orders in the ERP;
  • imported, with the order number when the ERP provides it;
  • retrying: the ERP did not respond and Vendria will try again on its own;
  • didn't get in, rejected (by the ERP), needs fixing, customer not registered, duplicate customer, writing disabled, no matching connection or attempts exhausted: the order is not in the ERP. In When the confirmed order doesn't get into the ERP each badge appears next to the title the order page shows, with what to do;
  • removed from the queue.

On a phone, the ERP badge drops to the line below when it does not fit next to the other, and the extra after the "·" (the time, the number) is left out; it appears on the order page.

A purchase that became several orders appears as a Purchase card, with the orders inside and the overall status (Partial when they are in different situations). The whole card leads to the purchase page; the name of an order inside it leads straight to that order.

Filter the quote list

Click Filters to open the selectors. Every filter you turn on appears as a tag above the list; the tag's X turns off only that one, and Clear brings everything back to the default.

  • Status: starts on All active, which leaves out Rejected and Cancelled. All, including closed brings those two back. The other options show one status at a time, with the same names as the card's badge, for example Awaiting customer approval to see only what is with the customer, or Expired to see what has lapsed.
  • Source: where the quote came from. The format options (Text, Audio, Image, PDF, Spreadsheet and Page) group what arrived through WhatsApp and the file imported on the site; each card's badge says through which of the two doors it came in. The others are the quote built on screen (From scratch (built on screen)), the one created from saved items (Generated from saved demand) and the one from the Inactive-customer campaign.
  • Store: appears when you reach more than one store. The chosen store is remembered on your next visit.
  • ERP status: ERP: not sent yet, ERP: not in the ERP (with the count in parentheses when there is any), ERP: awaiting import and ERP: imported. ERP: not in the ERP groups all the badges of orders that were sent and are not in the ERP, including sending and retrying, where Vendria is still handling it. An allocated order in which one branch is still waiting for import appears in awaiting import; pre-sale does not count for this filter, as it does not count for the badge. It only makes a difference when the store sends orders to the ERP.
  • Seller: appears only when there is more than one possible answer, for example two sellers, or you plus the No seller queue.
  • Rep agency and Typist: appear only when there is a rep agency order, or an order someone typed on behalf of another person.
  • Customer: one or more customers; the selector's search accepts name, CNPJ or code.
  • Tests: No tests (the default), With tests or Tests only. Next to it appears, in parentheses, the count of test quotes within what the other filters left on the screen.

How to search for a quote

Use the search box above the filters: its placeholder text is Search by customer, CNPJ, seller, typist, rep agency, item or destination. Type and press Enter; leaving the box also applies the search.

A single term is enough to find it: the customer (by name, company name, CNPJ or code, including the branches'), the COT or ORD number, the person who sells or who typed, the rep agency company, a product code or description that is in the lines, or the destination of an allocated delivery.

When the document was found by something that is not visible on the card, it says Found by — and the reason: item: 12345, destination: LOJA CENTRO, typed by: Ana.

What the list hides

Four things are left out of the default list without having been deleted:

  • Rejected quotes and Cancelled orders: to see them, choose All, including closed in Status;
  • quotes marked as test: switch Tests to With tests or Tests only;
  • drafts with no items: they do not appear under any filter;
  • your open cart: what you are building that has not become a quote yet. When that is the case, the list warns "You have an open cart with 3 items — it is not a quote yet and does not appear in the list.", with the Continue link to go back to it.

An Expired quote does not disappear: it stays in the work list for you to decide whether to go back to editing it (opening the quote and changing what it needs) or reject it.

Common questions

  • I built a quote and it is not in the list. If you did not close the cart, it is still a cart: use Continue on the open cart notice. If it has no items, it does not appear either.
  • A quote disappeared. It was rejected, cancelled or marked as a test; check with All, including closed and With tests. It also disappears when its store is deactivated.
  • I don't see the Seller filter. It only appears when there is more than one seller to choose from in what you see.
  • "No orders found." No document matches the search and the filters that are on; click Clear.
  • "No test documents in this list." You are on Tests only and there is no test in the selection.
  • A colleague doesn't see the quote I see. What each person sees depends on their link with the company: a sales rep sees their own portfolio, not others'.
