Know whether the ERP integration is working

For the administrator: check whether each store's ERP connection is on, understand the bell notices and redo the authorization when it expires.

For: Administrator · Supplier

Where to find it

There are three places, and each answers a different question:

  • Company Settings, in your account menu, ERP Integration card: does each store's connection exist, is it on, and does it have a credential? (Only the company Owner sees this card.)
  • The Notifications bell, at the top of the screen: did something change or stop on the ERP side?
  • The quote itself: does that store's connection need some action now?

The badges of each connection in the ERP Integration card

Each row of the card shows the store's name, the ERP type and a badge:

badgewhat it means
Credentials configured (green)access-key connection with the keys saved
No credentials (yellow)access-key connection with no key saved: it can't talk to the ERP
Connected (green)Bling connection authorized and on
Waiting for connection (yellow)Bling connection created, but not yet authorized (or turned off): use Connect to Bling

And the switch on the right says whether the connection is on. A connection that's off isn't used for anything in that store, whatever the badge.

On a Guarani connection that's on, below the address, a line says when Vendria last updated its copy of the ERP's price tables:

linewhat it means
ERP price tables updated on DD/MM/YYYY at HH:MMthe copy is up to date; switching tables on the quote works
the same, with the amber warning "more than a day ago"the copy is still valid, but hasn't updated in over 24 h: if it goes past two days, switching stops
the amber warning "more than two days ago"the copy has expired: quotes use the connection's sales table, and the customer's table and the one chosen on the quote stop applying until it comes back
This ERP's price tables haven't been synced yetthe connection has never brought in the tables

⚠️ The green badge says the credential exists, not that the ERP is responding right now. A wrongly saved key or a connector that's down still keep the green badge: the sign that something stopped comes through the bell and the quote.

The bell's notices about the ERP

ERP notices go to the Owner, to the company's administrators and to the administrators of that store. Order notices also go to the seller responsible for the order.

  • ERP connection expired: "Your ERP's authorization expired and sync stopped." Happens with Bling. Redo the authorization (section below).
  • ERP sync interrupted: "We stopped receiving updates from your ERP a few days ago." Also Bling: the automatic updates stopped arriving. Reconnect or contact support.
  • Automatic ERP updates never arrived: the Bling connection never sent an update. Almost always the notification URL (webhook) is missing in the Bling panel; reconnecting the authorization is no fix for this case.
  • Change detected in your ERP: your ERP's vendor changed the way it stores data (usually a version update). If you didn't know about any update, let the Vendria team know.
  • Failed to import order into the ERP, Delayed import into the ERP and Order removed from the ERP queue: a confirmed order didn't go in, is waiting too long or was taken out of the queue. Click to open the order and see the reason; see Quando o pedido confirmado não entra no ERP.
  • Customer not registered in the ERP and Customer with duplicate registration in the ERP (with the connection's name after the title when it has its own name, for example · Branch): a confirmed order was rejected by the ERP because of the customer. The notice says whose order it is and what to do, without the ERP's technical message. For example: "Order #123 wasn't lost: it's confirmed in Vendria, but the ERP (Branch) didn't accept it because the customer isn't registered there.", followed by the customer and "Register the customer in the ERP (Branch) (or ask whoever registers customers) and, after the ERP approves the registration, resend the order — there's no need to type it again." For a duplicate registration, the notice asks you to keep just one registration in the ERP and then resend. Click to open the order.
  • Catalog updated, 1 new item in the catalog (and the other single-item ones) and Sellers updated: these are changes the ERP brought in, not errors. See What syncs with the ERP, and when.

The notices inside the quote

When you open a quote from an integrated store, Vendria checks that store's connections and may show, above the customer's data:

  • "An ERP connection needs to be authorized to use the system's data.", with a Connect button followed by the connection's name. It's a Bling connection without authorization. The button opens Bling's authorization in a new tab; when you come back, the notice disappears on its own. Anyone on the team (not the buyer) sees it and can click.
  • ERP not provisioned: "Contact support to enable the system's data — no action here fixes it." The connection exists but has no credential. There's no button because there's no click that fixes it: it's up to the Vendria team.

Redo the Bling authorization when it expires

When ERP connection expired arrives, Bling stopped accepting the old authorization and Vendria stopped reading stock and data for that store. To authorize again, the company Owner:

  1. Opens Company Settings and goes to the ERP Integration card.
  2. Turns off the switch of that store's Bling connection. The Connect to Bling button appears on the row.
  3. Clicks Connect to Bling and authorizes on the Bling screen.
  4. On seeing "Bling connected successfully!", goes back to Vendria: the connection turned back on by itself, with the Connected badge.

⚠️ If this is the organization's only active connection, turning it back on turns off Pre-sale counts as stock. Check the switch afterwards.

Common questions

The store page says "ERP — Coming soon" under Service Channels, but the store has an ERP. The store page's Service Channels box is informational and fixed: the ERP row says Coming soon for any store. The real status is in the ERP Integration card.

The badge is green, but stock doesn't show. Check that the connection's switch is on and that the store tracks stock (Company manages stock, in Catalog and exports, Product page tab). If both are right, the connector may be down on your company's side: contact support.

I got no notice at all and things stopped. The silence notices (ERP sync interrupted, Automatic ERP updates never arrived) are Bling's. For other ERPs there's no silence notice in the bell: if the store stopped receiving data from the ERP, tell support as soon as you notice.

I'm a store administrator and I don't see the ERP Integration card. It's only for the company Owner. You still receive your store's bell notices.
