A seller's profile and their customer portfolio

For the administrator: see a seller's profile, add, transfer and remove customers from their portfolio and check what comes from the ERP.

For: Administrator · Supplier

Where to find it

In your account menu, under Sellers, by clicking the seller's row. The top shows the name and, next to it, the seller code (Vendria's internal code, not their code in the ERP).

The Details card shows Email and WhatsApp as read-only. To change name, email, phone or code, go to Users, open the person and edit their seller profile. What this page is for is working on the portfolio: the customers that seller is responsible for.

The three numbers at the top

Customers adds up the customers on both lists on the page (Vendria's and the ERP's), without counting twice anyone who appears on both. The label gains "(at least)" whenever the ERP part isn't closed: while it loads, when it fails, or when there are still ERP pages you haven't opened. In those cases the number is a floor, not the total. If the ERP didn't respond and nothing is counted in Vendria, a dash appears instead of a zero.

Quotes counts this seller's saved quotes in this store. A cart that is still being built doesn't count.

Revenue adds up the total of this seller's orders in this store that are Confirmed or Exported. Pending, declined or cancelled orders don't count.

The last two ignore test documents and only look at the store you're in, so don't check these numbers against a total for the whole organization.

Portfolio in Vendria and portfolio in the ERP

The page shows two lists, and they are not the same thing:

  • Portfolio in Vendria: the customers already registered here that have this seller as owner. It's the only one you manage on this screen, with Customer, CNPJ and Actions.
  • In the ERP (not on Vendria yet): this seller's portfolio read from the ERP at the moment you open the page, read-only. A customer from there enters Vendria on its own when someone uses it in a quote, already assigned to the seller the ERP indicates.

On the Vendria list, a badge next to the name says where that customer's link with the ERP stands: ERP + Vendria (exists in both) or Link dropped (the ERP no longer recognizes the customer; a new order isn't accepted there until the link is redone). A customer with no badge on this list was created here and has no counterpart in the ERP: the quote is built normally, but the ERP doesn't recognize the CNPJ on submission. "Link dropped" is not the same as "never was in the ERP".

How the ERP list works on this profile

The In the ERP (not on Vendria yet) list has no search on this screen. It comes in pages, one sequence per connection, with Previous and Next. Head office and branches come grouped, and the group badge counts only what is on that page; the head office may be on the next page.

Clicking a row opens the customer: if it already exists in Vendria, it opens its record; if not, it opens a read-only profile with what the ERP has.

Bring over this customer creates the record in Vendria right away, without waiting for the first quote. The whole record comes in (head office and the group's branches, with the link to the ERP), not a loose row. Two possible refusals:

  • the notice that importing customers from the ERP isn't enabled: it's a switch turned on or off per store, not a lack of permission on your part. Talk to Vendria support.
  • "Could not bring the customer.": try again; if the record left the ERP between your search and the click, reload the page.

Add, transfer and remove customers

  1. Add customer opens Add customer to portfolio, with search by name or CNPJ. Each result says who serves it today ("current seller", "served by the rep agency", "no seller", "already in portfolio" or "assignment comes from the ERP"), and choosing someone who already has an owner asks for transfer confirmation. ⚠️ If whoever serves it is a rep agency, bringing the customer to a seller takes it from the entire rep agency: all its members lose access to it, not just whoever was serving it. The confirmation only names the rep agency; the effect is this.
  2. The transfer button, on the row, opens the choice of destination seller. Only destinations that can own a portfolio appear.
  3. The trash can removes the customer from the portfolio and it stays with no seller until a new assignment. The customer isn't deleted.

A customer has a single owner: one person or one rep agency, never both.

When the assignment comes from the ERP

A customer whose assignment came from the ERP is locked on this profile: the transfer button and the trash can are disabled, with the notice "The assignment comes from the ERP — fix it there; the sync propagates it". In the Add customer search, this customer appears marked and can't be chosen.

Forcing it here wouldn't help: the next sync would bring the assignment back. The fix is in the ERP. The lock holds while the store's connection to the ERP is active; with the connection turned off, the customer becomes manageable in Vendria again.

Pre-sales in the ERP

The third block, Pre-sales in the ERP, lists the pre-sales this seller has open in the ERP, read on the spot and read-only; nothing here changes the ERP. Each row shows the order, the issue date, the customer, the amount and the status; with more than one branch, the branch column also appears. Load more fetches the next batch.

Three sentences say different things:

  • "This seller has no link with the ERP.": there's no ERP code linked to them.
  • "This seller's ERP doesn't offer pre-sales.": they have a link, but that ERP doesn't work with pre-sales.
  • "ERP calibration incomplete — the list may not be complete.": the list came, but pre-sales may be missing. Don't conclude they don't exist.

When it goes wrong

Opening this page queries the ERP on the spot: the ERP list and part of the customer number come from that query. With the connector down, the page doesn't guess: the Customers number becomes a dash and the portfolio warns that it can't be checked right now, with the error detail beside it.

This is not an empty portfolio. Don't re-register anything in this state and don't conclude that the seller lost customers.

"Could not load the seller." with Try again is a failure to open the profile itself. Try again; if it persists, check whether the seller hasn't been removed.

Common questions

Why does the customer total say "(at least)"? Because the ERP list still has pages you haven't opened, or it didn't respond. The number is only exact when both halves are complete.

The seller's revenue is lower than I expected. It counts only confirmed or exported orders, only from this store, and ignores test documents.

The customer is in the seller's ERP, but doesn't appear in Portfolio in Vendria. It doesn't have a record here yet. Use Bring over this customer or wait for the first quote for it.

I want to change the seller code. That's in Users, not here. And remember: this is the internal code; the ERP one is linked under Seller codes in the ERP, on the person's profile.
