Purchase: when one order becomes several

For the buyer: why a cart with products from different stores becomes several orders and how to track each one on the purchase page.

Where to find it

The purchase page opens in three ways:

  • right after you send a cart with products from more than one of the supplier's stores: Vendria takes you straight to it;
  • from the list, in the menu, under Quotes: the purchase appears as a card of its own, with the title Purchase followed by a code (for example, Purchase G-3F9KQ2X), the number of orders and the date;
  • from inside an order, through the See the full purchase link, in the Store box.

Why one order becomes several

The supplier may have more than one store: branches, brands or units that invoice separately. When your cart combines products from different stores, each store gets its own order, with its own number, and the purchase is what brings those orders together in a single place.

Before sending, the cart warns you about the split in a window: it says how many stores the purchase has and into how many orders it will be split. If a store doesn't reach its minimum amount, the window shows that store with the total and the minimum, and its items stay in the cart instead of going ahead.

Each order in the purchase goes out with its store's price, discount and taxes. The purchase total is the sum of the orders.

What the purchase page shows at the top

  • the title, Purchase followed by the purchase code;
  • a summary line with how many orders, how many items and the combined amount (and the date, when the purchase was put together on screen);
  • right below the top, the Orders in this Purchase panel, the first on the page (explained in the section The cards in Orders in this Purchase), and after it, when the purchase came from something you sent (photo, spreadsheet, PDF, text or audio), the Extraction block: what was read, the original, the Source: and the Received on:, with the date;
  • the status tag of the whole: when all the orders are in the same status, it repeats that status (for example, Waiting or Confirmed); when they are in different statuses, it says Partial;
  • Seller: the name of whoever handles the purchase, when it's the same seller on all the orders.

The cards in Orders in this Purchase

The Orders in this Purchase section has one card per order. Each card shows:

  • the store name, highlighted;
  • the order number and how many items it has;
  • an amber mark with the number of issues, when there are open points in it (explained in the section The points to settle, below);
  • that order's status tag;
  • the order amount.

The whole card is clickable and opens the order, where the lines, the terms, the totals and the PDF are. See Track an order you sent.

All the purchase items in a single table

Below the cards, the Purchase items section brings together all the purchase's items. It starts closed: click the title to open it. The table has the columns Store, SKU, Product, Qty, Unit price and Total. It's the quick way to know which order each product ended up in: the Store column tells you.

An item the supplier didn't recognize appears with Code not found in place of the name.

Each order in the purchase moves at its own pace

The orders of a purchase are independent after they are sent. One may be confirmed while the other is still Waiting; one may get a proposal for you to review and the other not; one may even be declined without the others changing.

That's why the tag at the top sometimes says Partial: it's not an error, it's just the whole being in different statuses. To know what's missing, look at the tag on each card.

If a proposal arrives, it belongs to one order: check its number and reply to the seller about that order. See Review the supplier's proposal, and how to accept, ask for a change or decline.

The points to settle

The points to settle on each order appear only as the amber mark on its card, with the number of issues. On a computer, hover the mouse over the mark to see what it's made of. On any device, click the card to open the order, where each point appears.

⚠️ The seller is the one who settles these points. For you the mark is a summary: if something doesn't match what you ordered, open the order, check it and talk to the seller.

Download the purchase's orders

The Download all button, at the top of the page, is for the supplier's internal use: if you click it, the screen shows an error and no file is downloaded.

To keep the orders, open each card and use Export → PDF on the order's page. Each order generates its own file.

When it goes wrong

"Purchase not found.": the address is wrong or the purchase isn't yours. Go back to Quotes and open it from the list.

I clicked the purchase and landed on an order: when a purchase has a single order, its page already is the purchase, and Vendria takes you straight there.

Sending the purchase was refused with a store's name in the message: that store blocked the sending (a quantity that doesn't close the box, for example). In that case no order of the purchase was created: fix it in the cart and send again.

A store was missing from the purchase: its items stayed in the cart, because that store's order didn't reach the minimum amount. Complete it and send; it becomes a separate order.
