# Columns, unit, branch and formatting of an order export template

> For the administrator: build the order export template, with columns, pieces or boxes, one line per branch, PDF orientation and formatting.

## Where to find it

In your account menu, under **Catalog and exports**, in the **Quotes and
orders** tab, in the **Quote and order templates** card. The rules below appear when you open a default
template (**CSV and TXT**, **Excel**, **PDF**) or when you create and edit a
custom template.

Opening a template takes you to the template screen: the list disappears, and the arrow at the top (or the
browser's Back) returns to the list. The editor is divided into blocks that open and
close, and each one shows a summary when closed: **Columns** (the first one,
already open), **Header and totals** (only in the sent quote template, opened
from the **Sent estimate** row of the **Templates** list), **Unit, branches
and page** (in the CSV and Excel defaults, **Unit and branches**) and
**Formatting**. Every existing template saves on its own: the footer says **Saved
automatically** with each change recorded.

## The columns of the order file

In the **Columns** block, each button with **+** adds a
column; clicking again removes it. The chosen columns appear in a table with
**Field**, **Label** and **Order**:

- **Label** is the title that goes in the file's header; you can rewrite it;
- the **Order** arrows move the column up and down;
- the **X** removes the column.

Fields come in groups, by what each column says:

- **Product**: **Code**, **Description**, **Unit**, **Prepack**, **Barcode
  (EAN)** (the item's code), **Case code (DUN)** (the closed case's code),
  **Image**, **Buyer Ref.** (the code the customer wrote) and
  **Code via Match**;
- **Quantity and price**: **Quantity**, **Table Price**, **Discount (%)**,
  **Discount per unit**, **Line discount**, **Net Price** and **Final Price
  with taxes**. **Discount (%)** is the line's total discount on the Table
  Price (the table's or the rule's together with the seller's concession), and it's the same
  per unit and on the line. In value there are two numbers: **Discount per unit** is
  how much the Net Price ended up below the Table Price, and **Line discount**
  is that times the quantity;
- **Taxes**: **Line taxes** and, for each tax the
  organization's products have, the rate and the line value (for example **IPI (%)** and
  **IPI (value)**);
- **Totals**: **Line total (without taxes)** and **Line total (with
  taxes)**;
- **Stock**: **Status**, **Qty in stock**, **Pre-sale qty** and **Pre-sale
  arrival**;
- **Delivery**: **Branch** and **Branch CNPJ**;
- **Other**: **Notes**.

There are three prices for one unit, and each says whether it includes tax:

- **Table Price**: the table's price, **before** the discount. **Without
  taxes**;
- **Net Price**: the price **after** the discount. **Without taxes**.
  Quantity times this price gives the line total without taxes;
- **Final Price with taxes**: the Net Price plus the taxes of one
  unit.

And the tax in money:

- **Line taxes**: the sum of all the line's taxes (IPI, ST and the
  others), already multiplied by the quantity. A line with no tax comes out blank;
- **IPI (value)**, **ST (value)** and the other per-tax columns: each tax
  separately, for those who need to see them one by one.

The totals are **of the line** (for each item); the document total comes out in the footer.
In the table footer, **Line taxes** sums the whole column.

A template saved before 18/10/2026 may have columns that are no longer
offered for new templates: **Tax Value** (only the line's **first** tax, not
the sum; in the editor it appears as **Value of 1st tax**) and **Bar
code** (the EAN, or the DUN when the product has no EAN). They keep coming out
as they did, with the label the template stored. To see the line's total taxes,
replace **Tax Value** with **Line taxes**. The **Net
Price (legacy)** column, which gave the same number as **Net Price**, was converted
into it on 19/10/2026, with the label the template stored: the file comes out the same.

In **Catalog attributes**: the attributes the organization's products have,
such as NCM or product line.

In product columns, **Show as**, next to the label, chooses how each one
comes out. The photo: **Image** (inside the Excel and PDF cell), **Link** (a "View
image" that opens without login, for the customer who receives the file) or **Image and
link**. In Excel and PDF, a photo the product has that didn't arrive in time becomes the "View
image" link. The codes: **Number**, **Barcode** (drawn in Excel and PDF) or
**Number and barcode**. In CSV the photo always comes out as the address, and the code as the
number.

The stock columns (**Status**, **Qty in stock**, **Pre-sale qty** and
**Pre-sale arrival**) are team-only: they come out in the file someone on the team
downloads and never in the one that goes to the customer. That's why the format default doesn't
offer them.

In the **Unit, branches and page** block (in the Excel default, **Unit and
branches**), the **Items not found in the catalog** field chooses where an item
the quote didn't find in the catalog comes out: **In a note after the table** or **In the
table, in the quote's order**. It doesn't appear in the CSV and TXT default, which goes
to the ERP with no off-catalog line, nor in the sent quote template, where
that item always comes out in the note.

## Order template without any columns

With no columns chosen, the system builds an **automatic layout** that varies
by document: it adds image, the item's barcode (EAN),
discount and taxes when it finds them.
Choose the columns when you need a file that is always the same, for example for
an ERP that imports by column position.

In the **sent quote** template, the column table already shows the ones that come out
today, in the paper's order, and each one that only comes out in some quotes says when
(for example, *only if the quote has a discount*). Change it right there: the first
change saves the whole list. Once saved, the image, the EAN, the discount, the
table price and each tax keep coming out in the PDF only in the quote that has them.

## The Branch and Branch CNPJ columns

**Branch** and **Branch CNPJ** only come out when the file has one row per branch,
that is, in an allocated order with **One row per branch**. In a
consolidated file they don't come out, even if chosen: an empty column in a file someone
will import would be worse than a missing column.

## Tax columns with taxes turned off

The template applies to all of the company's stores: the editor offers the tax
fields when at least one store shows some tax on the quote (the general
decision in the **Taxes** tab, or the **Estimates and orders** block of **Adjust by
place**), whichever store you are logged into. With
all taxes turned off in all of them, they are no longer offered. If a
template already had **Line taxes**, the column stays in the list, struck through, with the
**no effect** notice saying that the taxes are all turned off. In the file
of a store with all of them off, the column doesn't come out. **Line total (with taxes)**
keeps coming out, without the "(with taxes)".

## The quote default

Where **nobody chose columns**, the quote's PDF and Excel come out in the default:
the **Unit** column right after the quantity (it's how the customer sees whether the
number is cases or pieces), **one column per tax with only the value** (without the
percentage column) and, when the quote has tax, **the two totals side by
side**, without taxes and with. This applies to the automatic layout and to the factory
default that came ready and was never touched (which is the case for almost every company),
and also to the order copy that comes out in the default. The preview in the
**Choose template…** window shows the same columns as the file you download.

**What doesn't change:** the templates and defaults whose columns you touched (swapped,
removed, added, changed the order or the name of any); the **CSV and TXT**; the PDF
of the **quote sent** to the customer (and its preview); and the order copy after
you adjust the columns through the conversation. To use the default in a template you
already customized, add **Unit** and **Line total (without taxes)**
in the **Columns** block.

With all taxes turned off in the store, **Line total (with taxes)** leaves
the file when the template also has **Line total (without taxes)**: without
tax the two would be the same number.

## Unit: pieces, cases or as is

The **Unit** field, in the **Unit, branches and page** block, converts the file's quantities:

- **Keep as is**: each line comes out in the unit it has on the order;
- **Units (pieces)**: lines in cases become pieces;
- **Boxes (packages)**: lines in pieces become cases.

In the conversion, the unit price is adjusted in the same proportion, so the **line
total doesn't change**. Units the system doesn't recognize (kilo, for example)
stay as they are.

⚠️ To convert pieces into cases the system needs to know how many pieces come in the
case. If that's missing, the **Choose template…** window shows **Packaging
missing for conversion into cases**, with a **Units per case** field per
item: fill it in and click **Save packaging and preview** (the value is
saved on the product), or click **Export without boxes**, which switches to a
custom template that doesn't convert into cases; if there is none, register
one with unit **Keep as is**. A ★ shortcut that runs into this opens that
window.

## Per branch: one row, sum or one file per branch

The **By branch** field decides what happens in an order allocated among the
customer's branches:

- **One row per branch**: one row for each branch, in the same file;
- **Sum all branches**: one row per product with the total of all
  branches. The file comes out **without** the branch and CNPJ columns;
- **One file per branch (.zip)**: one file per destination, inside a .zip.
  It only exists in custom templates, and only applies to an allocated order; without allocation,
  the single file comes out.

## PDF page orientation

**Page orientation (PDF)** has **Automatic (recommended)**, **Always
portrait** and **Always landscape**. In automatic, the PDF measures the columns and turns
to landscape only when needed.

In the PDF, what overflows the sheet is the **width** of the columns, not their number.
When it doesn't fit, the document tries, in this order: turning to landscape, squeezing the
text columns, reducing the font, abbreviating the default titles (with a legend in the
footer) and, finally, drawing each item on two rows. Titles you typed
are never abbreviated. To find out what happens with your columns, generate the
file.

## Formatting: text case, numbers and the CSV

In the **Formatting** block:

- **Text case**: **Keep original**, **UPPERCASE**, **lowercase** or
  **Title Case**;
- **Decimal separator**: **Comma (,)** or **Period (.)**;
- **Decimal places**: from 0 to 6;
- **Thousands separator**: **None**, **Period (.)** or **Comma (,)**. It
  can't be the same as the decimal separator: the template doesn't save;
- **Delimiter (CSV/TXT)**: **Semicolon (;)**, **Comma (,)**,
  **Tab** or **Vertical bar (|)**;
- **Encoding (CSV/TXT)**: **UTF-8 with BOM** (opens correctly in Excel),
  **UTF-8** or **Latin-1**, for older systems.

## The document sent to the customer

The columns apply to the files someone **downloads**. The PDF that **Send
quote** generates for the customer comes out in the template of the **Sent quote** row, in the
**Templates** list. The company can have several quote templates and chooses which one
goes out via **Change**. In that template, validity, totals, terms and freight
always come out, outside the table, and the code or description, quantity,
unit price and line total columns are mandatory. The **Header and totals** block
turns the rest on and off, such as the customer's address, the **Seller**, taxes
broken down by tax and logistics. The **Seller** (whoever serves the customer, from the
team or the rep agency) comes already on. The **Document title** written there
is what comes out at the top of the paper; empty, the usual title comes out (Quote or Purchase
order). **Unit** is locked to **Document unit**, and
the PDF table comes out consolidated, with the branch distribution in its own
section. Without customization, the document comes out in the system's default quote,
with automatic orientation.

## When it goes wrong

- **I chose Branch and it didn't come out**: the order isn't allocated, or the template is
  set to **Sum all branches**.
- **The file opens with broken accents**: change the **Encoding (CSV/TXT)**;
  for older systems, try Latin-1.
- **Numbers come out as 1.234,50 and the system wants 1234.50**: adjust
  **Decimal separator** and **Thousands separator** in that format's template.
