# Permissions: what the rep agency's team can do

> The Partner decides what the Seller sends to the ERP, whether they see the queue and have their own templates, and whether the Administrative staff manages the team and changes permissions.

## Where to find it

The switches live in two places:

- what the Seller can **send to the ERP** is in the rep agency's **Catalog and exports**,
on the **Estimates and orders** tab, in the **ERP submission** card, with three switches: **Orders**,
  **New customer through the Customers tab** and **New customer together with the order**;
- **New order queue**, **Own templates**, **Team
management** and **Permissions by Administrative** are in **Permissions**, in your account menu, right below **My Team**. The
Permissions page also shows where the ERP submission is.

Both screens show up for every member of a rep agency company,
whatever their role. Someone who belongs to no rep agency has no
entry, and the direct address goes back to the home screen. If you belong to
more than one rep agency, a selector at the top picks which company's
switches are shown.

## Who can change the team's permissions

*Every member reads; the Partner changes them, and so does Administrative, while the
**Permissions by Administrative** switch is on (which is how it starts).* For whoever
can change them, each switch shows as a toggle. For whoever can't, the screen shows what
is in effect (**Allowed** or **Blocked**, in the **ERP submission** card;
**Partner and Administrative** or **Partners only**, in the **Team management** and
**Permissions by Administrative** cards), with the notice *The ERP submission is set by
the rep agency's Partners and Administrative.* In **Permissions**, the notice is
*The team's permissions are set by the Partners and Administrative. Here you see
what is in effect today.* With the switch off, both notices say only
*the Partners*.

The **Team management** and **Permissions by Administrative** switches belong only to the
Partner, even with the second one on: they are what says what Administrative
can do. And the supplier served by the rep agency turns none of them on or off:
they are the rep agency's decisions about its own team.

When someone changes a switch, the screen confirms with one of these messages:

- **Sellers can now send orders to the ERP.**
- **Only Partner and Administrative send orders to the ERP.**
- **The whole team sees the queue again.**
- **The queue now belongs to Partner and Administrative.**
- **Sellers can now register customers through the Customers tab.**
- **Only Partner and Administrative register customers through the Customers tab.**
- **Sellers can now send a new customer together with the order.**
- **Orders with a new customer are now confirmed by the Partner or Administrative.**
- **Sellers now have their own templates.**
- **Sellers go back to getting the team default. Their templates are kept.**
- **Administrative now manages the team.**
- **Only the Partners manage the team.**
- **Administrative now changes the permissions.**
- **Only the Partners change the permissions.**

## Orders: what the switch decides

The **Orders** switch, in the **ERP submission** card, decides whether the rep agency's
**Seller** can confirm an order in the supplier's stores that write the order straight to the ERP.
Confirming, in those stores, is the act that creates the order in the supplier's ERP,
which is why the switch locks the confirmation, not just the submission.

- **Allowed**: the Seller confirms and the order goes to the ERP like any
  other.
- **Blocked**: the Seller builds and saves the quote, and the Partner
  or Administrative confirms it.

Partner and Administrative always confirm, with the switch in any position. The
supplier's typist is not affected: the switch applies only to the rep agency's
Seller.

In a newly registered rep agency, the switch starts at **Blocked**.

## What the Seller sees when the ERP submission is blocked

In the stores that write to the ERP, with the switch at **Blocked**:

- on the quote page, **Confirm estimate** and **Customer confirmed** show up
disabled, with the explanation *writes to the ERP — only the Partner or
  Administrative confirms*;
- if the confirmation is tried anyway, the answer says that your company's Partner or
Administrative confirms for you, and that the order stays as
  it is: nothing is lost;
- on an order someone else already confirmed that has not reached the ERP yet,
**Send to ERP** and **Resend to ERP** are also refused for the
Seller, saying that the Partner or Administrative can send it.

The quote stays visible to the Partner and Administrative, who reach the
whole team's documents. That is how the two-step work goes: the
Seller puts the order together, Administrative checks and confirms.

**In stores without an ERP nothing changes.** There, confirming writes to no system, and the
Seller confirms normally with the switch in any position.

## Blocked orders and the customer confirming through the link

⚠️ The **Orders** switch also applies when it is the **customer** who confirms
the proposal through the review screen. If the quote's seller is a rep agency
Seller with the switch at **Blocked**, and the store writes to the ERP, the
customer's confirmation is refused. They read *"This proposal can't be
confirmed yet. Talk to your seller to complete the order."*

In that case, let the Partner or Administrative know: one of them confirms the order on the
quote page, recording the customer's acceptance. See [Confirm the estimate: directly or after the customer accepted](/en/ajuda/confirmar-o-orcamento).

## Who is notified when the orders switch changes

Changing the **Orders** switch notifies, in the Vendria bell, the
administrators of every supplier with an active mandate with your
rep agency: the notice says that who on the team can send orders to their ERP
has changed. This happens because the switch touches the supplier's ERP.

The **New order queue** switch notifies nobody: it is an internal rule
about who on the team sees the orders without an owner. The **new customer** ones don't
notify either: the registration reaches the supplier's ERP as pending, and
whoever runs the ERP still decides to import it. The **Own templates** one
doesn't notify either: it only decides how the list file comes out within the team.

## New order queue: what the switch decides

The **New order queue** switch decides who sees the orders that arrived
for the rep agency and *don't have a seller yet*.

- **The whole team** (for read-only users: **The whole team sees it**): any member sees
the orders without an owner, can take them, and gets the new order notice.
- **Partner and Administrative only** (for read-only users: **Only Partner and Administrative
see it**): the Seller stops seeing the orders without an owner, can no longer take them
and stops getting the notice. This includes orders without an owner from customers in the
  rep agency's portfolio.

In a newly registered rep agency, the switch starts at **Partner and Administrative only**:
whoever hands out the orders is whoever gets notified about them. To open the queue to the
whole team, the Partner turns the switch on.

How the queue works day to day (take, pass to a colleague, return)
is explained elsewhere. See
[The rep agency's order queue: take, pass on and return](/en/ajuda/fila-de-pedidos-da-representacao).

## What the queue switch doesn't hide from the Seller

The switch only touches orders **without an owner**. With it at **Partner and
Administrative only**, the Seller still sees:

- the orders where they are the seller;
- the orders credited to the rep agency that the supplier's internal team
typed in and left with someone outside the team.

⚠️ This includes **no** orders from colleagues: opening the queue to the whole team
doesn't open to the Seller the quote another member made. The ones who see the documents
of the whole team are the Partner and Administrative, with the switch in any
position.

## New customer: the two switches

Registering a new CNPJ in the supplier's ERP has **two** switches in the
**ERP submission** card, one for each place the customer comes from. Both apply only
to the rep agency's **Seller**; Partner and Administrative always register.
The registered customer goes into the rep agency's portfolio.

**New customer through the Customers tab** applies when the Seller is only registering
the customer: the **Register customer in ERP** button and, on the row of a customer that
exists in one of the supplier's ERPs and is missing from another, **Register in the other
connections**. It also applies to registering through Dri outside a quote.

- **Allowed**: the Seller registers the CNPJ straight in the ERP.
- **Blocked**: the buttons disappear for the Seller, and the registration is refused for
  them.

**New customer together with the order** applies on the quote: the customer
review strip (**Register customer in ERP (…)**), the customer selector (**Register
new customer in ERP**) and the order the ERP refused for lack of registration.

- **Allowed**: the Seller sends the new customer and the order straight to the ERP.
- **Blocked**: the Seller fills in the customer's registration on the quote, and it
is kept with the order, without going to the ERP. When trying to confirm, they read that
orders with a new customer go through Administrative. Administrative (or the
Partner) opens the same quote, checks the registration and confirms: customer and order
go to the ERP together. On a connection that doesn't carry the customer inside the order, the
Seller reads *"Ask whoever registers customers to register this CNPJ in the ERP
(…)"*. Through Dri, on a quote, the registration doesn't go out either: she answers that the
rep agency's Partner or Administrative registers it for them.

In a newly registered rep agency, and in every rep agency that hasn't
set anything up yet, both switches start at **Blocked**.

⚠️ With **New customer through the Customers tab** at Allowed and **New customer together
with the order** at Blocked, the Seller can register the CNPJ through the Customers tab
and then use it on the quote without going through Administrative. The card warns about this
when the switches are in that combination.

## Own templates: what the switch decides

The **Own templates** switch decides whether the team can have personal templates for
the product list file and for the estimate, or whether everyone always gets the
default the rep agency built in **Catalog and exports**.

- **Allowed** (for read-only users: **Sellers have templates**): the
**Catalog and exports** page gets, at the end, the **Your templates** section. There each
person duplicates the team default, adjusts the copy and picks which template to use for
each list. The lists they ask Dri for or export from the products screen come out
in that template. Without their own choice, the team default applies.
- **Blocked** (for read-only users: **Team default**): everyone gets the team
default. The **Your templates** section shows the sentence *"The rep agency turned off
own templates; you get the team default."*, and Dri answers the same
if someone asks by name for a template that is only theirs.

With the switch at **Allowed**, each person can also have their **own
estimate**, on the **Sent estimate** row of **Your templates**. It goes out on the
quotes where they are the seller; without their own estimate, the team's goes out.

Turning it off deletes nothing. Each person's templates are kept and apply again
if the Partner turns the switch back on.

In a newly registered rep agency, the templates switch starts at **Blocked**.

The supplier's typists have a similar switch, which the
supplier's administrator turns on in their settings. It doesn't reach your
team: for rep agency members, only the switch on this page applies. For how the
list file picks the template, see [List file templates: whose layout is it](/en/ajuda/modelos-de-arquivo-da-lista).

## Team management: what the switch decides

The **Team management** switch decides whether **Administrative** takes care of the team's people
in **My Team**, or whether that belongs only to the Partners.

- **Partner and Administrative**: Administrative adds, edits, invites, changes the
password, sends the access link and removes Administrative staff and Sellers, and changes
their role between the two. They don't touch a Partner's registration, don't promote
anyone to Partner and don't change the main contact. Changing the
Sellers' switches, on this page, is another switch, **Permissions by Administrative**.
- **Partners only**: Administrative sees the team read-only, like the Seller.

This switch always belongs to the Partner, even with the **Permissions by
Administrative** switch on. For Administrative, the card shows only a badge: if
they could turn management back on, turning it off would be pointless.

The change applies at once, on each person's next action. Turning it off doesn't undo what
Administrative already did: whoever they added stays on the team, with the role they
gave, and the Partner changes whatever they want from there.

In a newly registered rep agency, and in every rep agency that hasn't
touched it yet, the switch starts at **Partner and Administrative**: it is common for the Partner to leave
the team's registration with the administrative staff. Whoever wants to keep management to themselves turns it off
here.

## Permissions by Administrative: what the switch decides

The **Permissions by Administrative** switch decides whether **Administrative** turns
the Sellers' switches on and off (the ones on this page and the ones in the **ERP
submission** card), or whether that belongs only to the Partners.

- **Partner and Administrative**: Administrative changes the **Orders**,
**New customer through the Customers tab**, **New customer together with the order**, **New
order queue** and **Own list templates** switches, like the Partner. **Team
management** still belongs only to the Partner.
- **Partners only**: Administrative sees the switches read-only, like the Seller.

This switch always belongs to the Partner. For Administrative it shows as a badge,
even when on: if they could turn it back on, turning it off would be pointless. The change
applies at once, and turning it off doesn't undo what Administrative already changed: the switches
stay as they left them, and the Partner changes whatever they want from there.

In a newly registered rep agency, and in every rep agency that hasn't
touched it yet, the switch starts at **Partner and Administrative**, for the same reason as
**Team management**. Whoever wants to take the permissions back turns it off here.

## The reach of the switches

Each switch applies to *every organization your rep agency serves*. The
rep agency's registration is a single one, so there is no way to allow the ERP submission
for one supplier and block it for another, nor open the queue for one brand and close it for the
other, nor allow customer registration for a single supplier, nor allow
own templates for a single brand, nor let Administrative manage the team for
one supplier and not for the other, nor let Administrative change the
permissions for a single brand. The templates each person builds, those yes,
belong to one organization: each brand's catalog has its own columns.

## When it goes wrong

- *The page shows "Loading…" and then an error message.* Click
**Try again**. While the page doesn't know what is in effect, it
draws no switch: "I don't know yet" never shows as "blocked".
- *The page went back to the home screen on its own.* You left the team, or the
rep agency was deactivated, with the page open.
- *I don't see the toggle, only a label.* You are not a Partner. Ask one of the
Partners for the change: who they are shows in **My Team**.
- *I turned on the ERP submission and the Seller still can't confirm.* Check whether the
page shows **Allowed** for the company picked in the selector at the top. If
it does, the button is held for another reason: read the explanation that shows up
next to **Confirm estimate** on the quote page.
