# Orders and stock: approval, minimum order, stock and packaging

> For the administrator: set the minimum order per store, stock control, hiding out-of-stock products, packaging multiples and items for later.

## Where to find it

In your account menu, under **Commercial Rules**, in the first section, **Orders**
("Approval, minimum amount, items for the future and packaging."). It comes
open. Each switch saves on click and the screen confirms with **Saved**.

The two stock switches, **Company manages stock** and **Hide out-of-stock
products**, moved out of here on 18/10/2026: they're in your account menu, under
**Catalog and exports**, **Product page** tab, **Stock** block. The
**Orders** section shows a notice with the link to it.

The minimum amount is edited store by store in a list. The other switches in this section
apply to the store your session is in. See [Commercial rules and discount](/en/ajuda/regras-comerciais-e-desconto).

## Require Order Approval

The switch says "Orders placed by buyers require approval."

⚠️ Today it doesn't change the order's path: every order the buyer sends
through the catalog arrives as **Waiting** for your team to review and
confirm, with the switch on or off. No buyer order becomes
**Confirmed** on its own. See [O ciclo de vida de uma cotação: os status e o que liga um no outro](/ajuda/o-ciclo-de-vida-de-uma-cotacao).

## Minimum order amount, per store

The **Minimum order value, per store** list has one row per store, with the
field in R$ and the **Block** switch. Blank means no minimum.

Next to the number you type, the value the system **understood** appears
("= R$ 5.000,00"). Always check it: a period without a comma is read as a decimal point,
so **5.000** becomes R$ 5,00. Type **5000** or **5.000,00**.

The **Block** switch stays disabled while the store has no amount,
with the sentence "Set a minimum amount to be able to block". Deleting the amount turns off the
block along with it.

## What happens to an order below the minimum

**With Block off**, the minimum is a warning. In the quote, the panel shows
**Below the store's minimum order** with the total, the minimum and how much is missing, and the
seller can confirm anyway: the confirmation only reminds that the total is
below the minimum order.

**With Block on**, the panel row becomes **Below the store's minimum
order — the order will not be accepted** and the confirmation is rejected: "this store doesn't
accept orders below its minimum. Add items until you reach the minimum, or
turn off the block in the store's commercial rules." In a cart with several
stores, that store's group shows "Below the minimum (R$ …) — will not be
sent". It applies
in every store, integrated with an ERP or not.

⚠️ **The buyer is always stopped.** An order the buyer sends themselves
through the catalog below the minimum is rejected even with **Block** off. The
block only decides what your team can confirm.

The minimum is checked against the **document total**. In an order with an allocation
across branches, the sum counts, not each delivery.

In a store that sends orders to the ERP, turning on the block also holds the sending of
an order below the minimum that had already been confirmed before.

## Company controls stock

It's in **Catalog and exports**, **Product page** tab, **Stock** block.
On by default. Turn it off for companies that don't manage stock: a
factory, for example. Without stock, the availability check and pre-sale
are hidden throughout the store: the quote stops showing the stock column and
the shortage warning, and pre-sale is no longer offered.

The stock check in the quote also depends on the store having a connected ERP.
See [Estoque na cotação: o aviso de falta e as saídas](/ajuda/estoque-na-cotacao).

## Hide Out-of-Stock Products

It sits next to the previous one, in **Catalog and exports**, **Product
page** tab, **Stock** block. It only appears with **Company controls stock** on. On, the catalog stops
listing products with zero stock or no stock reported.

⚠️ It only acts in a store whose stock comes from the import **spreadsheet**. In a store
with a connected ERP the switch is ignored: the balance lives in the ERP, and hiding by the
local column would make products the ERP has disappear.

## Save items for the future

It stays in **Commercial Rules**, **Orders** section, outside the stock block
on purpose: holding back part of an order
also happens in stores without stock ("the customer asked to hold it", "it didn't
fit the credit limit").

On, the drawer of each quote row offers to deliver part now and
save the rest for a future order, or to remove the whole item from this order. What
is saved is recorded in "Future demand". A row that leaves entirely doesn't
come back; one that only shrinks can be returned to the order while it isn't closed.
See [Demanda latente: o que o cliente pediu e não saiu](/ajuda/demanda-latente).

## Packaging multiples and quantity buttons

**Require Packaging Multiples** (on by default): products with packaging
can only be ordered in multiples, for example 30, 60, 90.

- A **buyer**'s order outside the multiple is rejected on sending ("Items with
  invalid quantity").
- For the **seller**, the row shows "Not a multiple of N" and the confirmation
warns "Items outside the packaging multiple … The ERP may reject or
  round", but doesn't prevent it.
- With the switch off, the row warning still appears and the seller
can dismiss it. On, dismissing doesn't count and the warning always appears.
- Closed prepack kits and products whose price is already for the whole package are never
  checked.

**+/- buttons add by packaging** (on by default) is just a convenience: the
quantity buttons in the cart and the catalog go up and down by the whole
package (60 at a time). It doesn't block anything.

**Allow Fractional Quantities** is saved, but ⚠️ today no catalog or quote
screen changes behavior because of it.

## Require a carrier to send to the ERP

Marks a missing carrier as blocking in the ERP send
review. In stores where that review is configured to reject, the gap starts
to block confirmation; in the others, it stays a warning.

Only turn it on after the daily carrier reconciliation has already
linked the ERP's records; before that the field comes empty on every
order. See [Carriers: registration and what comes from the ERP](/en/ajuda/transportadoras).

## When it goes wrong

**I turned on the minimum block and the order confirmed.** Check the "= R$" next
to the amount (5.000 becomes R$ 5,00) and whether the block was turned on in the right
store's row: the list is per store.

**The buyer can't send and the block is off.** That's expected:
for the buyer the minimum always rejects.

**I turned on Hide Out-of-Stock Products and nothing disappeared.** The store has a connected ERP,
and there the switch doesn't act.

**I turned off stock control and pre-sale disappeared.** That's the switch's effect:
without stock, there's no pre-sale.
