# What syncs with the ERP, and when

> For the administrator: what Vendria reads and copies from each store's ERP, such as stock, catalog, images, sellers and customers, and when each one arrives.

## Where to find it

There is no "sync" screen. The ERP connection is in your account
menu, under **Company Settings**, in the **ERP Integration** card (see [Connect a store's ERP](/en/ajuda/conectar-o-erp-de-uma-loja)). What syncs appears on the usual screens: in the
**Catalog**, on the quote, in **Customers** and in **Sellers**, and change
notices arrive through the **Notifications** bell, at the top of the screen.

## The general rule: connecting doesn't turn everything on

Connecting a store's ERP creates the path between the two systems. **Each type of
data that travels along that path is enabled separately, store by store**, and the
enablements start off. The Vendria team enables them, after checking
with you that the ERP's records are ready for it: a catalog with wrong prices
or a seller registry with duplicates would be copied just the same.

What actually comes in also depends on the ERP: each integration can read different
things, and Vendria only uses what that ERP offers. That's why two integrated
stores can show different information without anything being "missing".

**stock** is the only item that works with just the connection on. The **last
paid price** has no enablement of its own, but only appears for a customer recognized
in the ERP, and recognizing the customer depends on that ERP's connector being enabled
for the store.

## Stock: read from the ERP on the spot

Stock **is not copied**: Vendria asks the ERP at the moment it needs it,
product by product. It works when two things are true at the same time:

1. the store tracks stock: in **Catalog and exports**, **Product
   page** tab, the **Company tracks stock** option is on;
2. the store has an ERP connection **turned on** in **Company Settings**.

In the **Catalog** list, the stock column gets a plug icon whose
tooltip says **Read from this store's ERP just now**. On the quote, the balance feeds the
shortage warning line by line. Since the reading is on the spot, there is nothing to "refresh": the number
is what the ERP answered at that instant.

## Catalog: the ERP becomes the owner of the records

With the automatic catalog enabled for the store, products created, changed,
deactivated or removed in the ERP are reflected in Vendria's catalog without
anyone importing a spreadsheet.

⚠️ **It's not instant.** ERP changes arrive in batches and are applied
right after; a price change made in the ERP can take a few hours to
appear in Vendria.

The fields the ERP controls are **locked** on the product page, which shows the
**Catalog synced with the ERP** notice listing which ones they are (description, price,
unit, packaging and others, depending on the ERP) and saying: **"Edit in the ERP: a
change made here would be undone on the next sync."** In the
**Catalog** list, the column that belongs to the ERP gets the same plug icon, with the tooltip
**Set by this store's ERP**.

## Change notices on the bell

The bell notifies what **changed in the ERP**, not what changed in Vendria. The notices reach
administrators as soon as the store's connector is enabled, **even with the
automatic catalog turned off**. The notice text is the same in both cases; with the
automatic catalog off, it tells what changed in the ERP, and Vendria's catalog
stays as it was until someone imports the updated spreadsheet.

Each change the ERP sends becomes a single notice, whatever its size.
When it's one item, the title says what happened to it: **1 new item in the
catalog**, **1 item modified in the catalog**, **1 item deactivated in the catalog**,
**1 item removed from the catalog** or **1 item reactivated in the catalog**. When there are
several, or when the ERP sends only the count of changes, the notice is **Catalog
updated**, with the count of each type of change, and **See details** lists the
items. All of them
end with **"If you don't recognize this change, contact support."** In a
store with more than one connection, the title also carries the name of the connection that changed,
when it has a name of its own.

## Product images

Images coming from the ERP are a separate item, enabled separately from the catalog.
⚠️ With it on, the product gallery is **rebuilt from the ERP**, and a
product that has no image in the ERP ends up **with no image** in Vendria, even if someone
uploaded one here. If the right image only exists in Vendria, register it in the ERP.

## Sellers and customers

- **Sellers**: with seller sync enabled, whoever joins, changes or
leaves the ERP's sales rep registry arrives on their own, and the bell notifies with
**Sellers updated**. Cases the sync doesn't resolve on its own
stay in cards at the top of **Sellers**: in some you choose what to do
right there, in others the card says what to fix in the ERP's records.
- **Customers**: the ERP customer enters Vendria **when someone uses them**
for the first time (on a quote, for example), not in a load of the whole portfolio.

The details of what is automatic and what stays manual, and what to check before
enabling, are in an article of their own. See [What the ERP brings on its own, and what stays manual](/en/ajuda/erp-o-que-vem-sozinho).

## Last paid price and orders

- **Last paid price**: how much the customer paid last time per product,
shown next to the quote line. It has no switch of its own: it appears
with the connection on, once the quote's customer is recognized in the ERP. The
line price only changes when the seller chooses to use it. See [Store integrated with the ERP: what changes day to day](/en/ajuda/loja-integrada-ao-erp).
- **Sending orders to the ERP**: the confirmed order is written into the ERP. It's the last
item to be enabled, because from then on Vendria writes into your company's
management system. When something prevents it from going in, see [Quando o pedido confirmado não entra no ERP](/ajuda/quando-o-pedido-confirmado-nao-entra-no-erp).

## Can you force a sync?

Not from your screen. **Company Settings** has no "sync
now" button: the sync happens on its own, and a full resync of the
catalog or of the sellers is done by the Vendria team. Ask support when
you need it, for example, after a large price correction in the ERP.

For stock it isn't needed: it's already read on the spot.

## Common questions

**I changed the price in the ERP and Vendria still shows the old one. Why?** The
change takes a few hours to arrive. If much longer than that has passed, check whether the
automatic catalog is enabled for that store: without it, the price comes from the
imported spreadsheet.

**The bell said an item changed, but the catalog is still the same. Is it a bug?**
No. The notice arrives with the connector enabled, even when the automatic catalog
is turned off for the store. Without it, you're the one who updates the catalog, through the
spreadsheet.

**I edited a product in Vendria and the value went back. Why?** The field belongs to the ERP.
Fix it in the ERP; the next sync brings the right value.

**A product disappeared from the catalog. What happened?** Look on the bell for a
**1 item removed from the catalog** or **1 item deactivated in the catalog** notice, or a
**Catalog updated** with removed or deactivated items in the count (**See details**
shows which): the ERP discontinued it.

**Why doesn't stock appear on the quote?** Check both conditions:
**Company manages stock** turned on in **Catalog and exports**, **Product
page** tab, and the store's connection
turned on in **Company Settings**.

**Why doesn't the last paid price appear on the quote?** It waits for the quote's
customer to be recognized in the ERP. Check that the store's connection is on and that the
customer was found in the ERP. Until they're recognized, Vendria doesn't fetch
the last paid price, and the line keeps the table price.

**I have two stores and only one syncs. Is that right?** It's expected when only one
was enabled: each store has its own connection and its own enablements.
