# Build a quote by text on WhatsApp

> Write the customer's order in a message to Dri on WhatsApp and get the quote ready, with sample messages and how to adjust the items.

Source: https://vendria.com/en/ajuda/montar-cotacao-por-texto-no-whatsapp

## Where to find it

In the conversation with Dri, on WhatsApp, in the Dri chat or on Telegram. You
write the order in a message and she sends back the finished quote, with the link to
open it on screen.

The quote she creates goes to **Quotes**, like any other. The whole conversation,
with what Dri did on each message, is in **Actions**.

## How to ask for a quote by text

Write what the customer asked for in a single message, with the customer and, for each item,
the code and the quantity with the unit:

> place an order for Casa Modelo: 10 bx of AB10008, 4 bx of AB10371 and 24 pcs of AB10372

There is no cart built item by item in the conversation. When the message has
codes and quantities, Dri reads all of it, matches each item to the catalog and creates the
document in one go, without asking for confirmation first. She also understands the product
name instead of the code, but with the full code she gets it right the first time;
with only the name, she may leave the line for you to confirm.

If you serve more than one store and neither the codes nor the customer decide which
store the order is for, Dri first asks **Which store is this quote for?**.
With the **Multi-store cart** option, which comes turned on, codes from different
stores in the same message become one quote per store. See the section on
serving more than one store, further down.

Naming the customer helps the most: with their name or, better, their CNPJ in the same
message, the quote already comes out with their terms. Without a customer, it comes out at the
price table price, and you add the customer later. See the section on price,
further down.

## Examples that work

Messages like these create the quote on the first try. The codes, the customer and the CNPJ are
examples: use your own.

**With the customer by code, by name or by CNPJ**

- *"quote for customer 1234 with 2 boxes of AB10298"*: the customer's code
  in your records. If the same code exists in two stores, say the store: *"customer
  43 from Casa Modelo"*;
- *"order 10 AB10371 for Bazar Modelo"*;
- a message with the CNPJ on one line and the items below:

```
quote
11.222.333/0001-81
10007 - 120 bx
10040 - 10 bx
10092 - 5 bx
```

**With the agreed price next to the item**

```
order for 11.222.333/0001-81
CD20907 2 bx 4,00
CD22363 1 bx 1,50
```

The written price goes in as the document price, for you to check. See [Preço do documento: o preço que o cliente escreveu ao lado do item](/ajuda/preco-do-documento).

**With payment terms, payment method and freight together**

```
order for 11.222.333/0001-81
AB10008 10 bx
AB10371 4 bx
terms 30/45/60, boleto, CIF
```

**A pasted list, one item per line**

```
AB11374 1 bx
AB11371 1 bx
AB11713 2 bx
```

**Changing the quote that just came out**

- *"add 2 AB10008 to the quote"*;
- *"swap AB10371 for AB10372"*;
- *"make a quote for 10 bx of AB10008 at the price table price"*.

Photos, PDFs and spreadsheets work too: see [A quote from a photo, PDF or spreadsheet on WhatsApp](/en/ajuda/cotacao-por-foto-pdf-e-planilha).

## What Dri replies when she creates the quote

The reply starts with **✅ Quote created!** when everything matched. If something needs
a check, she opens with **⚠️** and says what, but the quote was created
anyway. For example: **⚠️ Quote created: I found 3 of 8 items in the
catalog**, **⚠️ I didn't find any of the 5 items in the catalog**, **⚠️ Quote
created: the product still needs to be chosen for 2 items**, **⚠️ Quote created: check
the subtotal** or **⚠️ Quote created: the quantity is missing**.

After the title, the reply has, depending on the case:

- the store (**🏪 Store:**) and the customer (**🏢**), or **👤 Buyer not
  identified** when there is no customer;
- with the customer identified, their terms (payment terms, payment method and freight, on the
  **💳** line) and the discount that was applied. Without a customer, this line does not appear in
  the reply, even if the written payment terms went in: check the quote;
- the count of what did not match, for example **⚠️ 2 items not found.**;
- the subtotal (**💵 Subtotal:**);
- the link (**🔗**) that opens the quote on screen already signed in, with no code to
  type;
- the question **What would you like to do?** with the buttons **Export** and **Add
  items**.

**Export** generates the quote file and ends the conversation. See [Export the quote as Excel or PDF on WhatsApp](/en/ajuda/exportar-cotacao-pelo-whatsapp). **Add items** sets up the same
quote to receive your next message with more items, while it is
open in the conversation: after **Export**, whatever you send starts
a new quote.

## Items that were not found

An item that did not match the catalog **does not disappear**. It goes into the quote as
not found, with the text you wrote, and the line is flagged for
you to resolve on screen: search for the right product, save it as demand or
discard it. See [Code not found on the quote: search, save for future or discard](/en/ajuda/codigo-nao-encontrado-na-cotacao).

In the conversation, the way out is to swap the item for the right code (*"swap AB10371
for AB10372"*). How Dri picks the product for each line, and why she sometimes
suggests instead of choosing, is in [How Dri finds the product the customer asked for](/en/ajuda/como-a-dri-encontra-o-produto).

What makes Dri get it right the first time, with examples of messages, photos, PDFs and
spreadsheets, is in [Pedir pela Dri no WhatsApp](/ajuda/pedir-pela-dri-no-whatsapp).

## List of codes without quantities

If the message only has codes, with no quantity at all, Dri does not make up a
number. First, she may ask what you want to do with them: **What you sent
me: do you want me to look up these products, or build a quote with
them?**, with **1) Look up the products** and **2) Build the quote**. Reply
with the number or the word (*look up*, *build*). Replying with just one of the
codes does not count as a choice.

To build the quote, she asks: **📦 I read 5 codes in that message, but
no quantity.** and offers:

- **Yes, 1 bx of each**: builds it with one box of each item;
- **Always do it this way**: builds it now and from then on assumes one box in later
  messages without a quantity, without asking;
- **No, I'll type them**: does not build; you send it again with the quantities.

⚠️ With **Always do it this way** turned on, a list of codes only that Dri reads
as an order becomes a quote without a question, even if you only wanted to check
stock. To check, write *stock* or *price* on the first or last
line of the message (*"check stock"*, for example): then Dri reads it as a query.

Even with the preference on, each line built this way has its
quantity flagged for review on the quote. For Dri to start asking again,
write *ask quantity*; she confirms with **👍 Got it. I'll go back to
asking before assuming the quantity.**

**Check the count.** The number in **I read 5 codes** is what Dri recognized
as a code. If it is lower than the number of lines you sent, some line was
left out, without warning. Today, a line of numbers only (*4521*) and a line
with a space between the letters and the numbers (*CD 21330*) are left out: the code recognized
in this list starts with a letter and has the numbers attached. Write the code with no
space (*CD21330*) or send the list with the quantity on each line (*4521 1
bx*): with a quantity, Dri also reads codes made of numbers only.

**Wanted a list of these products, not a quote?** Tap **No, I'll
type them** and send it again asking for the list and the format in the same message, with the
codes below (*"generate a PDF list of these codes"*). See [Generate a product list on WhatsApp](/en/ajuda/gerar-lista-de-produtos-pelo-whatsapp).

## Quantity without a unit: box or piece

When you write *"10 of AB10008"* without saying whether they are boxes or pieces, the
unit you told Dri you usually use applies and, if you did not tell her any, your
company's default. The reply says which one was used, on a line like:

- **📦 No unit in the message → box, as you prefer**, when it was your
  preference;
- **📦 No unit in the message → box (your organization's default)**, when
  it was the company setting.

It comes with each item's count in boxes and in pieces. To not depend on
either, say the unit: *"10 bx"*, *"240 pcs"*.

If the whole quote came out in the wrong unit, you do not need to fix it line by
line. Open the quote and, in the **Order review and adjustments** panel, under
**Packaging and units**, use **Back to the numbers in the message** (or
**Convert to pieces**, or **Convert to boxes**). In the conversation, the fix
is per item: *"make it 240 units of AB10371"*.

## Say once that you order in boxes (or in units)

Send Dri, in a message on its own, *I always order in boxes* (or *I always
order in units*) and from then on she reads every quantity without a unit that
you type or say as boxes. The confirmation starts with **Preference saved** and
says the unit she will use. If the reply is **I understood the
preference. Send me the quantities already in the unit you want**,
**no** preference was saved.

- Send the sentence on its own, with no code, no quantity and no question, talking about
  yourself (*I order*, *I buy*, *I prefer*). A sentence about the customer, such as
  *"the customer always orders in boxes"*, may be saved as yours when there is an
  open quote: if you get **Preference saved** and that was not what you meant, say
  *forget the preference*.
- The lines already on the open quote do not change.
- It only applies to what you type or send by audio. Photos, PDFs and spreadsheets
  follow the company default.
- A unit written on the line itself, or on the other lines of the same order,
  always wins. A product without the box quantity registered never becomes boxes.
- The preference is yours, not the customer's. It applies in every store of the same company
  and does not carry over to another company.
- It lasts 90 days from the day you said it. Repeating the same sentence
  before then does not renew it; after the 90 days, say it again.
- On the quote, the lines read this way show up under **Packaging and units**, with
  **Keep as box** and **Back to the numbers in the message**.

To change it, say the other unit. To undo it, say *forget the preference*:
the reply is **Done, I forgot the unit preference.** If you get **I couldn't
undo the unit preference right now.**, open a quote from the
company and repeat it. Replying *never mind* does not undo the preference.

This preference is different from **Always do it this way**: that one decides what
to do when the message has no quantity at all; this one decides the unit of
a quantity written without a unit.

## The price written in the message

If you write the negotiated price next to the item (*"10 of AB10008 at 12,50"*) and
your company automatically applies the price that comes with the order, Dri uses that
value as the line price. The reply confirms with **🏷️ Message price
applied to 3 lines**.

When it cannot be applied, she says on how many lines and why: **⚠️ Message
price NOT applied to 2 lines:** followed by the reason, such as *above the store's
discount limit* or *I didn't find these products in the catalog*. In those
cases the line keeps the price the quote calculated.

If your company does not apply it automatically, the price is noted on the line and
you apply it on screen, with the **Use** button. In that case the reply has no
price-not-applied warning.

The step by step, with the reasons the price may not go in, is in [Send the negotiated price to Dri in the message](/en/ajuda/preco-negociado-na-mensagem).

## Payment terms, payment method and freight written with the items

Write the payment terms, the payment method and the freight in the same message as the items and
they go into the quote as it is created. Dri understands, for example, *Terms 30/45/60*,
*30 45 60*, *cash*, *terms 60/75 days*, *boleto*, *pix*, *CIF* and *FOB*.

- If the field is **locked** in the customer's record, the record's value applies, not
  what you wrote.
- Payment terms outside the customer's installment rule go in as you wrote them,
  and the screen shows an alert.
- Payment terms or a payment method Dri did not understand are not guessed: they become
  an issue for you to check on the quote.

⚠️ A discount on the whole order written in that message (*"50% on everything"*) does not
go in at creation. After the quote comes out, send *"give a 50% discount"*. See
[Change the order's terms on WhatsApp](/en/ajuda/mudar-as-condicoes-do-pedido-pelo-whatsapp).

## The price and the quote's customer

With a customer chosen in the conversation, their negotiated discount goes into the
quote. Without a customer, the quote comes out at the price table price.

To add the customer later, say whose order it is (*"it's for Casa Modelo"*,
*"set Casa Modelo as the customer"*, or the CNPJ): the open quote
becomes that customer's and the discount is recalculated. Dri does not ask for the
customer to build it: the customer is optional, and that is why you can start
with the product. See [Choose the conversation's customer on WhatsApp](/en/ajuda/escolher-o-cliente-na-conversa).

If the open quote already has another customer and you send items with the CNPJ of a
different customer, she **does not switch** the customer on her own: a customer
issue is left for you to decide on the quote.

## If you serve more than one store

Dri works out the store from the order's codes or from the chosen customer; only
when nothing decides does she ask **Which store is this quote for?**, with the
stores as buttons or in a list. Reply by tapping the button, with the number or with
the store's name. Upper or lower case makes no difference: *ab10298* finds AB10298.

With the **Multi-store cart** option on (it comes turned on), codes from
different stores in the same message become one quote per store, and the reply is
**✅ 2 quotes created!**, with each store on a line and the link **See the
full purchase**, which opens both together. With the option off, Dri builds everything in
the store that has the most codes. See [When one order becomes several: the multi-store purchase from the company's side](/en/ajuda/compra-multi-loja-do-lado-do-vendedor).

Items added to an open quote (with **Add items** or
**Add to quote**) go into that quote's store, even if they are from another
store: there they show up as an issue. To keep them apart, send *new order*
first.

When some of the items not found seem to be from a store that is not in
your portfolio, the reply warns on a line that starts with **↪️** and names the
store. Those items stay on the quote: on screen, the line says **Belongs to store
…, no access.**, and the **Belong to another store** panel offers **Discard
(N)**. To sell those items, talk to your manager. See [A line from another store in a purchase: which store is this item from?](/en/ajuda/linha-de-outra-loja-na-compra).

## Change the quote without starting over

All of this acts on the quote that is open in the conversation. To change the
quantity, use the code as it appears on the quote, with the letters in front,
or as you wrote it when building: if the line shows AB11729 and you write just
*11729*, Dri may reply **I didn't find 11729 on this quote.**

- *"what's in the order?"*: lists the items.
- *"add 3 of AB10372 to the quote"*: adds to the quote.
- *"remove AB10008"*: removes the item.
- *"remove the second item"*, *"remove item 3"*: points to the line by its position in the
  list that *"what's in the order?"* shows.
- *"remove the decorative paper"*: by name, Dri confirms which line it is, or
  asks which one when the name fits more than one.
- *"remove the Christmas items"*: removes every line on that theme at once. If
  that would take out more than half the quote, or 10 lines or more, Dri asks
  first. This removal cannot be undone.
- *"swap AB10371 for AB10372"*: one product goes out and another comes in. Dri
  first adds the new one and only then removes the old one: if the removal fails, both
  stay on the quote and she warns you, instead of leaving you with neither. If you
  do not say the quantity, the new item goes in with the same quantity in pieces as
  the one that went out, and the reply **🔁 I swapped…** says how much it came to. If the reply does not
  name the code that went out, it did not match any line and is still on the
  quote: remove it with the full code.
- *"change AB11729 to 2 boxes"*, *"make it 240 units of AB10371"*: changes the
  quantity of an item that is already there. With more than one item on the quote, say
  which; without the code, Dri replies **Which item?** with the quote's
  codes. Say the unit: she converts boxes to pieces using the product record.
  This is not a swap: a swap is when the product changes. On a line allocated
  among branches, the quantity does not change this way: open the quote.
- *"undo"*: removes the items from the last message you **added** to an
  already open quote, and undoes the sums it made. Right after **✅ Quote
  created!** there is nothing to undo: creation cannot be undone. Fix it item by item
  or on screen. See [Start over, end and the conversation commands](/en/ajuda/recomecar-encerrar-e-comandos-da-conversa).
- *"new order"* or *"new quote"*: the current quote is saved and another one starts
  in the same conversation, with the same customer, unless the message names
  another. The reply is **✅ New order started. Quote COT-000123 was
  saved.**

⚠️ Send **one item change per message**: that is how each one gets made
and confirmed. Several order terms together in one message work; see
[Change the order's terms on WhatsApp](/en/ajuda/mudar-as-condicoes-do-pedido-pelo-whatsapp).

⚠️ **Sending an item that is already on the quote again adds to the line, it does not
replace it.** The reply shows **line added up, now** and the total. To fix the
quantity, use *"change AB11729 to 2 boxes"*, not the whole list
again. If it has already added up, *"undo"* removes the last batch and undoes the sums.

⚠️ **Do not send back the PDF or spreadsheet Dri exported to ask for a
change.** The file is read as a new order and becomes **another** quote, with
its items; the change request sent with it is not applied to the original
quote. To change a quote that has already been exported, open its link and edit it on the
quote page. See [The quote page, part by part](/en/ajuda/a-pagina-da-cotacao) and, if it has already been
sent to the customer, [Edit a sent proposal: reopen, revise and resend](/en/ajuda/retomar-uma-proposta-enviada).

## Send more items with a quote already open

With a quote open in the conversation, items sent without saying what to do with
them (text with code and quantity, a photo or a PDF) get a question. The
reply says how many items it found and how many the active quote already has, with two
buttons: **Add to quote** or **New quote**.

- **Tap one of the buttons**, or reply with the word: *add* or *new*.
  A number (*2*) does not answer the question, and sending the same text again
  repeats the question.
- **New quote** creates another quote with the items and the CNPJ from the same message.
  The previous one is saved.
- **Add to quote** adds up the quantity when the item is already on the quote:
  *10 bx* of a code that had *1 bx* becomes *11 bx*, and the reply shows
  **line added up, now** with the resulting total.

To skip the question, say it in the message itself: *"add 5 AB10008 to the
quote"*, *"add to the same order"* or *"create a separate quote"*.
Tapping **Add items** after a quote is created also sends the next
message to the same quote.

**Order for another customer.** Write the customer's name after *for*,
as it is in the records and with the first letter capitalized: *"order 5
AB10008 for MERCADO EXEMPLO"*. With the name all in lowercase, Dri does not
notice it is another customer. If the open quote belongs to another customer, Dri opens the new one right away,
without asking, and the previous one is saved. If the open quote still has no
customer, she asks whether to say that quote is that customer's or to open a
new order for them. With the CNPJ instead of the name, she does not know it is another
customer and asks the two-button question: tap **New quote**.

**New order with the items in the same message.** *"new order"* with the items
below already creates the new quote with them, without Dri asking for the items again. If
the message names a customer, the new one is theirs, not the previous one's
customer. Phrases such as *new order*, *new quote*, *another quote*,
*I want to place an order*, *open a quote* and *I need an order* count as a new order.

A code on its own, without a quantity, Dri reads as a query and replies with the
product sheet, even with a quote open. To add it, say the
quantity: *"2 bx AB10985"*.

## Ordering by audio

Record the audio normally. Dri says **🎤 Processing your audio...**,
transcribes it, and the reply starts with **🎤 I got:** followed by what she heard.
From there on it counts as if you had typed it. If the transcription came out wrong,
correct it by text: you do not need to record it again.

## Common mistakes

- **Asking for a "list" when you want the quote.** *"Send a list with 10 AB10371"*
  may come out as a product file, not a quote. Start the message with
  **quote** or **order**. See [Generate a product list on WhatsApp](/en/ajuda/gerar-lista-de-produtos-pelo-whatsapp).
- **Writing the quantity without the unit.** *"10 of AB10008"* becomes boxes or pieces
  according to your saved preference or the company default, and a box of 24
  turns 10 into 240. Say **bx** or **pcs** (the section on quantity without a
  unit, above, explains).
- **Changing the quantity with the code without the letters.** In stores whose code has
  letters in front, *11729* may not find the AB11729 line on the quote, and
  Dri replies **I didn't find 11729 on this quote.** Use the full code.
- **Resending the corrected list.** With the quote open, repeated items
  add up. Use *"change AB11729 to 2 boxes"*, one item per message, or adjust
  it on screen.
- **Resending the PDF Dri generated to change something.** Dri creates another
  quote with the same items, and the original does not change. Open the original from the link.
- **A CNPJ typed with a wrong digit.** Dri checks the check digit and
  discards the invalid CNPJ: the quote comes out without a customer, at the price table price.
  Check the CNPJ, or say the customer's name or code.
- **A customer name that matches two records.** Dri asks which one it is. To
  avoid the question, send the customer's CNPJ or code.
- **Sending items from two stores expecting a single quote.** Each store issues its
  own invoice, so Dri builds one quote per store, grouped in a purchase.
- **Dri replied "Looks like you asked me for more than one thing in that
  message".** Send each request in its own message. If it was a single order, write the
  code and the quantity in the sentence (*"order of 144 CD20523 for Bazar Modelo,
  R$ 2,00, terms 30/45/60"*).
- **Thinking the quote has already gone to the ERP.** It starts as a draft and only goes to the
  ERP when someone confirms the order, with **Confirm estimate**, on screen. On
  WhatsApp, **Export** only confirms when the person exporting is an administrator. See
  [Export the quote as Excel or PDF on WhatsApp](/en/ajuda/exportar-cotacao-pelo-whatsapp).

## Common questions

**Do I need to name the customer first?** No. The quote comes out at the price table price and the
customer can be added later, with the discount recalculated.

**I sent "new order". Did I lose the quote?** No. It was saved as a
draft, with the number given in the reply, and it is still in **Quotes**.

**Why did Dri put boxes where I wanted pieces?** Look at the **📦** line of the
reply. If it says *as you prefer*, it is your saved preference: say
*forget the preference* or write *pcs* in the quantity. If it says *your
organization's default*, it is the company setting. Fix it with *"make it 240 units of
AB10371"*, item by item, or, for several lines, with **Back to the numbers in the
message** in the quote panel.

**Does Dri remember that I always order in boxes?** She does, if you tell her
in a message on its own (*I always order in boxes*). The preference lasts 90 days
for quantities without a unit that you type or say.

**Does Dri keep the payment method I prefer?** No. Payment method, payment terms and
freight apply to the open quote; each customer's default is in their
record.

**Why didn't the price I wrote go in?** The reply gives the reason on the line
that starts with **⚠️ Message price NOT applied**. Above the store's
discount limit, the value is not applied. If that line is not there, your
company may not apply the price automatically: use **Use** on screen.

**I wrote the payment terms with the items and the quote came out without them. What now?** Open the
quote and check the payment terms issue. If there is none, send *"terms
30/45/60"* and Dri adjusts it.

**I sent the list again and the quantities doubled. Why?** With the quote
open, sending an item that is already on it adds to the line. Send *"undo"* to
remove the last batch, or fix it with *"change AB11729 to 2 boxes"*.

**I sent another customer's order and Dri asked if I wanted to add it.
Why?** With the CNPJ, or without the customer's name capitalized after *for*,
she does not know it is another customer. Tap **New quote**.

**I tapped Add items, sent more items and a new quote came out.
Why?** The quote was no longer open in the conversation, for example after
**Export**. To change it, open it from the link.
