# Payment terms templates: ready-made terms ladders for the seller

> In a store whose ERP records payment terms in installments, the administrator creates ladders such as 30/60/90 or dates of the year to apply in the quote with one click.

## Where to find it

Payment terms templates only appear in a store whose ERP records the order's payment terms in
installments. In that store, they are in your account menu, under **Commercial Rules**, in the
**Payment Terms Templates** section ("Reusable payment terms templates (fixed days or dates
of the year) to fill in the payment terms on orders."). The templates belong to the store your
session is in.

⚠️ In a store without this integration (the payment terms ladder), the template would have nowhere
to be applied, and the section isn't shown. Hiding doesn't delete: templates already registered
stay stored. If your store has this integration and the section doesn't appear,
contact support.

## Fixed days or dates of the year

A payment terms template is a ready-made ladder applied on the quote with one click,
available only in a store whose ERP records the order's payment terms in installments. There are two
types:

- **Fixed days**: the ladder in days from issue, like **30/60/90**. In the
list, it appears as "30/60/90 days".
- **Dates of the year (calendar)**: the installments fall on fixed dates of the year, like
a Christmas campaign with due dates on Oct 10, Nov 10 and Dec 10. In the
list, it appears with the dates.

## How to create a payment terms template

1. In the **Payment Terms Templates** section, click **Add template**.
2. Give it a **Name** (for example "Christmas" or "30/60/90").
3. Choose the **Type**: **Fixed days** or **Dates of the year (calendar)**.
4. For fixed days, fill in **Limits in days** separated by "/", comma or
space. For calendar, use **Anchor** to add each date (month and
day) and choose what to do under **When the anchor has already passed this year**.
5. Check the **Preview (today)**, which shows the ladder in days and the dates it
   would give if applied today.
6. Click **Save**.

To change a template, use the pencil (**Edit**); to delete it, the trash can
(**Delete**), which asks for confirmation.

## When a calendar template's anchor has already passed this year

In a calendar template, a date of the year may have already passed when the template
is applied on the quote:

- **Discard (future dates only)**: the date that has passed leaves the ladder. A
Christmas template applied in November keeps only the installments still
  to come.
- **Roll over to next year**: the date that has passed moves to the same day of the following
  year.

With **Discard**, a template whose dates have all passed ends up with no installment
at all, and whoever builds the quote sees "Template with no next date."

## The warning about a ladder that doesn't move forward in time

For fixed days, the ladder has to grow. If you type **10/10/10**, the screen
warns that "the installments don't move forward in time" and that, if you meant every 10
days, the ladder is **10/20/30**, with the **use 10/20/30** button to switch.

The warning appears when you leave the field or on the first click on **Save**; the
second click saves anyway. ⚠️ Saved as **10/10/10**, the template ends up with a single installment,
in 10 days: repeated numbers are merged.

## How to apply the payment terms template on the quote

On the quote, in the payment terms field of the payment condition, whoever builds the quote
(the seller or you, the administrator) finds the **Store templates** group, with
each template already converted to today's date.
Once a template is chosen, the field receives the ladder and gets the badge "Payment terms from template
<name>", with "calendar dates" when the template uses dates of the year.

The buyer doesn't see the templates.

## Dates of the year are recalculated when sent to the ERP

The ERP counts payment terms in days from the order's issue, and the issue may
happen days after the click. That's why, in a calendar template, the ladder is
recalculated at the moment the order goes to the ERP, and the due date still
falls on the promised date. With fixed days there is nothing to recalculate.

## When it goes wrong

**"A payment terms template with that name already exists."** Names are unique in the store;
choose another or edit the existing one.

**"Enter a name for the template."**, **"Enter at least one term in days
(e.g.: 30/60/90)."** or **"Add at least one month/day anchor."**: the indicated field
is missing.

**The template doesn't appear on the quote.** The template belongs to another store, or the
quote belongs to a store whose ERP doesn't work with a payment terms ladder.

**I deleted a template that was in use.** Quotes that used it keep the
payment terms they already had; they only lose the template badge.
