# Catalog list export templates: columns, layout and visibility

> For the administrator: build the Excel and PDF templates of the product list, with columns, table or grid and which ones the team sees.

## Where to find it

In your account menu, under **Catalog and exports**, on the **Lists** tab, in the **List templates** card.

This card defines how the **product list file** comes out: the list the
seller asks Dri for on WhatsApp and the file from the **Export** button on the
products screen, in Excel and PDF. It applies to all the organization's stores.

The card has a single list, **Templates**, with the defaults first and then, under
**Extras**, the templates created by the team. The defaults come in this order: one row
for each list type, starting with the **Default list** (see below), and then the
Default templates **Excel** and **PDF**, with the **Base** badge. Each template row shows a summary of the columns (for
example, "5 columns · Code, Description…").

To create a template, click **New template**, at the end of the list. To start from one that already
exists, use the **Duplicate template** icon on its row and adjust the copy; it's the
fastest path when the team asks for a layout similar to one that already
exists. The same icon, on a Default template's row (**Duplicate the Default
template**), opens a new template with that format's rules; nothing is saved until **Create template**. In the template's column list, the **↑** and **↓** arrows change the order in
which they come out in the file.

Editing (the pencil, or a click on a Default template's row) opens the
template screen: the list disappears, the arrow at the top (or the browser's Back) returns to the
list, and **Remove** sits at the top on created templates. The
preview buttons are at the top, and the editor is split into blocks that open and
close, each with a summary when closed: **Columns** (the first, already
open), **Filter and order** (only on named templates), **PDF page** (on the
PDF and on named templates) and **Formatting**. On the **Excel** Default template and on the
**PDF** one there is also the **Order** card, with the list's default order (see [Default order and new-arrivals window of the WhatsApp list](/en/ajuda/ordem-padrao-e-janela-de-novidades)). There is no save button: each
change is saved on its own, and the footer says **Saved automatically**.

## The default for each list type

At the top of the **Templates** list, before the **Excel** and **PDF** Default templates, there is
one row for each list type: **Default list**, with the **Used by default** badge (it's
what goes out when someone asks for a list without saying which), and **ABC curve**,
**Product registration** and **Stock**, with the **Default** badge (they go out when asked for
by name). Dri picks the type from the seller's request (*"what sells the most"* is
the ABC curve, *"the stock position"* and *"what's in stock"* are Stock,
*"the product sheets"* is Product registration); with no type stated, it's the Default
list. Stock together with a product (*"vases in stock"*) is a selection, and the list
is still the Default list.

Each row shows the template in use for that type. **Chosen by the supplier**
means the company chose a template; **No template chosen** means
the format's Default template (Excel or PDF) goes out, and the **Excel** and
**PDF** row says for which types that happens (*"Goes out for ABC curve and Stock, which
have no template of their own."*). The row also counts how many rep agencies follow the
company's choice and how many chose another.

If the template in use lacks columns that type usually has (for example, the
stock column in the Stock list), the row warns you. It's only a warning: the template
works anyway.

The buttons on each row:

- the eye (**View the preview**) shows how the list comes out, with sample products;
- the pencil edits that type's default: it opens the template in use for editing, or,
  with no template chosen, creates a new template that goes into use for that type right away.
  Clicking the row does the same when the template in use is the company's. Those who can't
  edit can click too: the template in use opens locked, view-only;
- the copy icon (**Duplicate**), on the company's template: creates a copy under
  **Extras**, not in use, and opens the copy.

**Revert to default** is inside the open template, at the top of its screen, when
it is in use for a list type: it undoes the choice, and that type goes back to coming out
in the format's Default template.

The **Default templates** of each format and the templates under **Extras** also have the
preview eye.

When the requested type has a template in use, Dri sends the new list straight as a
file, in that template, and then offers the **Another template** menu for the seller to
switch template or format. With no template in use, Dri answers as always,
with the **Excel** and **PDF** buttons.

## The list's default templates: Excel and PDF

The list has two **Default templates**, **Excel** and **PDF**, at the start of the
**Templates** list with the **Base** badge. There is no CSV for the
list. They are what comes out of Dri's **Excel** and **PDF** buttons, the base for list types
that have no template of their own, and what comes out of the **Export** menu on the
products screen for those types. The **Export** menu shows one entry per list type
(**Default list**, **ABC curve**, **Stock**…), already in the template and format in use
for each; the standalone **Excel (.xlsx)** and **PDF** outputs only appear when
reading the types fails.

As with the order, the Default template **saves on its own**: the card footer says **Saved
automatically** with each saved change. **Discard** only appears when the
server rejects the change, and goes back to what was saved. In the list, the
**PDF** row also shows the **Layout**: whether it is in **Table** or in
**Prepack**, and how many per row.

## The columns the list can have

The fields come in groups, by what each column says. Under **Product**:

- **SKU** and **Description**: identify the product;
- **Store**: only comes out when the file covers more than one store;
- **Image**: the product photo. Under **Show as**, next to the label:
  **Image** (the photo inside the file, in Excel and PDF; the file gets
  heavier and takes longer to come out), **Link** (a "See photo" link that opens without
  login) or **Image and link**;
- **Barcode (EAN)**: the item's code, what the store's checkout scans;
- **Box code (DUN)**: the code of the closed box, what the receiver scans
  at receiving. It's empty for a product that isn't sold by the box;
- **Barcode**, which shows the EAN, or the DUN when the product has no EAN,
  is no longer offered for new templates: next to the two above it read as
  a third thing. A template that already has it keeps coming out the same;
- in the code columns, **Show as** chooses **Number**, **Barcode** (the
  drawn bar, in Excel and PDF) or **Number and barcode**;
- **Packaging**: how many come in the box (for example, "12 cx").

Under **Quantity and price**, the **Price**: the table price, and the **Final price with
taxes**: the table price plus the list's taxes. It always adds IPI, and
ICMS-ST only for a chosen customer, with the figure the ERP calculates for them,
even if the template doesn't have the ICMS-ST column. With no customer, it's the table price plus
IPI. It only appears when the list highlights tax. Under **Taxes**, the
rate columns, such as **IPI (%)**, one per tax the catalog has, and
**ICMS-ST (%)** when the ERP calculates ST: it comes out filled for a customer or for
a state, and for a state it is an estimate. When the ERP integrator returns the
ICMS rate, **ICMS (%)** and **ICMS (R$)** come in too: the own ICMS, which is already
included in the price and doesn't add to the Final price. They disappear when ICMS is hidden
on the **Taxes** tab, or when ICMS-ST doesn't go out in lists, because ICMS comes along
with it. In the template, these columns and the Final
price with taxes carry the note **Depends on the customer or the state**, with an **i** that
explains how to choose and lists the states. Under
**Stock**: **Stock (pieces)**, **Stock (boxes)** (how many closed packages
the balance makes up), **Pre-sale (pieces)** and **Pre-sale (boxes)** (how many
closed packages the pre-sale makes up).

Under **Sales**: **Sales 90 days (pieces)** and **Sales 90 days (R$)**, what each product
sold in the last 90 days according to the ERP. Sales no longer appear in the catalog: they are a
column of the list. When generating from the site, an owner or admin chooses under **Sales from** whose
figure it is: the **Whole store**, which comes pre-selected, or a rep agency. The
sales rep gets their own sales, with no choice. The buyer never gets sales: the
columns are dropped from their file. In Dri, the sales are those of whoever asks. When the list is the
best sellers of a rep agency (opened from Dri's link, or asked of her), the column
is that same rep agency's: the order and the figure come from the same place. The top of the file
says whose figure it is, on the **Filters** line. A product the ERP hasn't measured yet comes out with an
empty cell, never with zero.

Under **Catalog attributes**: the organization's product attributes, such as
NCM, line or dimensions. A product that doesn't have the attribute comes out with an empty cell.

Hovering over a column button shows its description; the columns
that change with the format show a hint below the name.

## ⚠️ Every list needs SKU or Description

A list template with neither **SKU** nor **Description** doesn't save: whoever receives the
file would have no way to identify the product. That's why a new template is born
with both, and the **X** of the last of them is locked.

## Selection and order of a named template

In the **Filter and order** block, a template created by the team can fix what
goes into the list asked of Dri: toggles such as **In stock only**, a range of
**Price from… to…** (**per piece** or **per box**), a range of **Stock from…
to…** (in **pieces** or in **boxes**) and **At most** so many products. In boxes,
the range is converted by each product's packaging factor; a product without a
registered factor is measured in pieces. Export on the products screen uses the screen's own
selection.

**Order** offers **Description**, **Price**, **Stock in pieces**, **Stock in
boxes** and the catalog's numeric attributes; text attributes, such as brand or
NCM, don't sort. The direction is stated in the field's own terms: **Most expensive first**
or **Cheapest first** for price, **Most stock first** or **Least
stock first** for stock, **A to Z** or **Z to A** for description, **From
largest to smallest** or the reverse for an attribute. With no order of its own, choose **The
Default template's**.

## Table or grid in the list PDF

**Layout**, in the **PDF page** block, appears when the template's **Format** is
**PDF**, and has two options:

- **Table — one row per product**: carries all columns;
- **Grid — cards with a large photo**: the photo always comes out, the **Description** becomes the
  card title, the next three columns form the highlight strip and the
  rest comes out as "Label: value".

In the grid, **Items per row** accepts 2, 3 or 4. **Whatever fits on the
card**: in practice, about 10 columns; the extra ones are left out and the
card says how many. If you need all of them, use **Table**. The grid only exists
in PDF: switching a grid template's **Format** to **Excel** turns the template back
into a table, and the screen warns you. And a grid template chosen as the template in use
for a list type doesn't build that type's Excel: the Excel comes out in the Excel **Default template**,
when it has been configured, or in the **System default**.

## List formatting

In the list, the **Formatting** block has **Text case**, **Decimal separator**, **Decimal
places** and **Thousands separator**. In PDF the separators come out exactly as
you choose. In Excel the cell stores a number and the comma or the
period is drawn by the computer of whoever opens it; from there only decimal places and whether or not
there is a thousands separator apply.

The list has no **Unit** or **By branch**: those fields belong to the order only.

## Preview before saving

The **Preview PDF** and **Preview Excel** buttons, at the top of the template screen, generate a sample with
products from your catalog, using what is on screen **now**, including what
hasn't been saved yet. Choose **with 10, 20 or 30 items** next to the buttons.

## The ★ decides who sees the list template

On templates created by the team, the ★ is not just a shortcut: it is the
**visibility for the team**. In the editor there are two fields: **Format** (**Excel**
or **PDF**, the format the template comes out in: in the **Export** menu, in **Choose
template…** and in Dri) and **Visible to the team**
(**Yes** or **No**). A new template comes with **Yes**.

With ★ (badge **Visible · Excel** or **Visible · PDF**), the template:

- appears as an option when the seller asks Dri for a list on WhatsApp;
- becomes a one-click item in the **Export** menu on the products screen, already in the
  chosen format.

Without ★ (badge **Not visible to the team**), Dri doesn't offer it and it doesn't become
a menu item. While there is a template without ★, the card shows a notice with the
count. Even without ★, the template can still be asked of Dri **by
name** and chosen in **Choose template…**, on the products screen.

The **Move up in the Export menu** and **Move down in the Export menu** arrows order the
templates with ★.

## Rep agency templates

A rep agency can have its own templates for its organization,
on its **Catalog and exports** screen. What it customizes applies only to its
team; what it doesn't customize keeps coming from here. In its **Templates** list,
each list type follows the company's choice until the rep agency chooses
another template. In Dri and on the products screen,
the rep agency's team sees its templates **together** with the organization's.
See [Catálogo e exportações: como sai o arquivo da sua representação](/ajuda/modelos-de-lista-da-representacao).

## Sellers' own templates

In **Company Settings**, the **Sellers' own templates** card
decides whether in-house sellers can have personal templates for the list and for the
quote document. It comes turned off.

Turned on, each in-house seller has the **My templates** page, with their
own rows for each list type: they duplicate the company's template, adjust the copy and
choose what they receive for each list type. Their choice beats the company's;
with no choice, the company's applies. A seller's templates are theirs alone. The
quote document can be theirs too: with the toggle on, the seller has their own
quote document, which goes out on the quotes where they are the seller.

Turning it off doesn't delete the sellers' templates: they are kept and apply
again if the card is turned back on. Rep agencies have an identical toggle, which
each one's Partner decides. See [Supplier settings: what the administrator changes, and where](/en/ajuda/configuracoes-da-fornecedora).

## When it goes wrong

- **I created a template and the seller doesn't see it on WhatsApp**: the ★ is missing. Set
  **Visible to the team** to **Yes** in the template editor, or check the ★ on
  its row, to release it.
- **"A list template needs at least SKU or Description"**: put one
  of the two columns back in the template.
- **The list came out without photos**: the template doesn't have the **Image** column, or it's in
  **Table**. In **Prepack** the photo always comes out.
- **The tax doesn't appear on the list**: check the **Lists** toggle in the
  **Lists** block of the **Taxes** tab (with no choice there, the list follows the **Product
  page and search** block, on the same tab). The template applies to all the company's stores, so the
  rate columns are offered when at least one store shows the tax, whichever
  store you signed in to. With the toggle off in all of them, they aren't
  offered, and those already in the template are struck through as **no effect**. In the
  list of a store with the toggle off, the column doesn't come out.
  The list of a **rep agency** that chose its own tax follows its
  choice, not this toggle (see [Catálogo e exportações: como sai o arquivo da sua representação](/ajuda/modelos-de-lista-da-representacao)).
