# My open pre-sales

> Ask Dri on WhatsApp which pre-sales you have open in the ERP, how to read the answer and what to do when she can't answer.

## What it is

A pre-sale is an order that has already entered the ERP to be fulfilled with stock that
is still on its way: what you have "coming in". It reserves future stock, and
that's why it only exists in a store that works with stock control and whose ERP
works with pre-sale.

The lookup *"what are my open pre-sales?"* is done on WhatsApp, with
Dri. ⚠️ It is **released gradually**, for the whole store or for specific
people, together with the revenue lookup. The sections below explain how
it works where it is released and how to recognize when it isn't.

## Where to see the pre-sales

The seller doesn't have a screen with their own pre-sales: the conversation with Dri is
their only door to this reading.

On screen, a seller's pre-sales show in the **Pre-sales in the ERP** block of
that seller's page, in **Sellers**, which only those who administer the company or the
store open (see [A ficha de um vendedor e a carteira de clientes dele](/ajuda/ficha-do-vendedor-e-a-carteira-dele)). If you
need the list and the WhatsApp lookup isn't released for you, ask
whoever administers.

## How to ask Dri for the pre-sales

The natural way: *"what are my open pre-sales?"*, *"what do I have
coming in?"*, *"my open orders on request"*.

## What Dri answers about pre-sales

The answer starts with the total of open pre-sales and lists the documents, ten
at a time, from most recent to oldest, each one with the customer, the order
number, the date and the amount. What hasn't been confirmed in the ERP yet is marked
*"· to confirm"*. When there are more, the answer ends with *"I showed 10 of 12.
Send "and the others?" and I'll go on."*, and the next page starts with
*"Continuing"* and says from which pre-sale it continues (the 11th, in the example).

The reading is done in the ERP at the time of the question, and is sliced by your
seller code in the ERP: only what was entered in your name comes in. If you have a code in
more than one store, the list joins the stores, the total says which they are, and each line
ends with the name of that order's store.

With no open pre-sale, she says you have no open pre-sale
right now.

If you ask again from scratch, the list restarts from the first page. Only a
continuation request, like *"and the others?"*, *"is there more?"* or *"go on"*,
picks up where it stopped.

## When the pre-sales list is too big

Dri goes through up to 300 documents per lookup. If that limit is reached, the
total comes with *"at least"* before the number, never a total that would look
exact and wouldn't be. The same *"at least"* shows when the ERP of one of your
stores didn't answer and another's did.

When the ERP answers incompletely, Dri warns that the list may not
be complete, instead of stating that you have no pre-sale.

## When Dri can't read the pre-sales

- *"I didn't find your sales rep code in this store's ERP"*: without the link,
Dri can't separate what's yours, and refuses instead of showing the whole store.
Ask whoever administers to check your seller link.
- *"This store's ERP doesn't work with pre-sale"*: there's nothing to show. If you
expected to see something, talk to whoever administers.
- *"The ERP didn't answer just now"*: most of the time the ERP is down, and
it's worth trying again in a bit. ⚠️ If the same sentence comes back every time, it may
not be the ERP: Dri also uses this answer when the store doesn't have stock control
turned on or when Vendria's connection to that store's ERP hasn't
been activated yet. Trying again doesn't solve these cases; tell whoever administers.
- *"I couldn't look that up right now. Try again in a bit?"*: besides a
passing failure, it's the answer that comes out when the store's ERP doesn't offer
pre-sale or when its connector is a version that can't read that
data yet. If it repeats, trying again doesn't solve it. Whoever administers checks on the
seller's page: there it shows "This seller's ERP doesn't offer pre-sales."
  when that's the problem.

## Another seller's pre-sales

On WhatsApp, only the administrator (of the company or one of its stores) or the
company owner asks for another seller's pre-sales, by name: *"Ana's pre-sales"*, or *"what does Carlos have
coming in?"*.

- The answer says whose it is, with the name as it is in the registry, never "you".
- The name is searched in the **ERP's seller registry**, by whole word:
  *"Ana"* doesn't find *Mariana*.
- If the name fits more than one person, she answers *"I found more than one
seller with that name:"*, lists the numbered options and asks which one.
You answer with the number or with the name as it is on the list. She never adds the
two people together. If there are more than eight, she shows eight, says how many were left
out and, if it's none of the eight, asks for the name with the surname.
- If she finds nobody with that name, she says so and asks for the full name, as
  it is in the registry.
- Another seller's list comes with only the first ten: *"and the others?"* doesn't
continue another person's list. To see them all, open that
seller's page, in the **Pre-sales in the ERP** block.

**Sellers and sales reps** look up only their own pre-sales, sliced
by their own link in the ERP. When the sentence names a colleague (*"are Zé's
pre-sales open?"*), Dri doesn't treat it as a pre-sale lookup: she doesn't
fetch Zé's pre-sales or return yours instead. The reason is reach:
a colleague's pre-sale is information for whoever administers, and answering with your
list under Zé's name would give a wrong number that looks right. The holder of
a rep agency doesn't ask for an agent's pre-sales by
name either; whoever needs that list asks whoever administers, who sees it on the
seller's page.

## Common questions

**Does the seller have a screen with their own pre-sales?** No. Their door is the
conversation with Dri. The list on screen is on each seller's page, which only those who
administer the company or the store open.

**Dri said the revenue lookup isn't available, but I asked
about pre-sales. Did she misunderstand?** No. Revenue and pre-sale are released
together, and the same sentence applies to both. Talk to your store's administrator.

**How do I see the rest of the list?** Send *"and the others?"* right after the answer.
She picks up where she stopped, ten at a time.

**Can I see a colleague's pre-sales?** Only if you are an administrator (of the company
or one of its stores) or the company owner: ask by their name. Sellers and sales reps see only their own.

**Why does the total come with "at least"?** Because Dri couldn't read everything:
it went over 300 documents, or the ERP of one of your stores didn't answer. The number
is the minimum, not the exact total.
