# Taxes and tax settings

> For the administrator: choose where each store shows IPI and ST (quotes and orders, lists, product page) and find out why the tax does not show.

## Where to find it

In your account menu, under **Catalog and exports**, **Taxes** tab. It's the
first tab, and the page opens on it. The other tabs don't decide tax: each one
has a **Taxes: follow the Taxes tab** row, which takes you to it.

The tab has a single decision, in plain view, and the per-place adjustment collapsed below:

- **Store taxes**: **Show taxes separately** or **Don't show separately**, and, when showing,
one switch per tax (**shows / doesn't show**). The choice applies everywhere:
in the quote and the order (screen, PDF and Excel), on the product page and in
search (screen and WhatsApp) and in product lists. This is also where the
  notice about rep agencies with their own tax setting appears;
- **Adjust by place**, closed: for one place to show differently from the rest. It has
three blocks, **Estimates and orders**, **Product page and search** and
**Lists**, each with the keys for that place only.

Anyone arriving at the old address of the Taxes screen lands on this same tab.

## The general decision and the per-place adjustment

Choosing in **Store taxes** saves the three places at once, and the hidden
taxes become the same in the quote and on the product page. In lists, which
taxes come out is a column of each list's template.

When a place was adjusted separately in **Adjust by place**, the general decision
shows **Each place its own way**, and a tax that differs between the
quote and the product page shows **varies by place**. Choosing again in the general
decision makes the same setting apply everywhere again.

The last shown tax can't be turned off by its own switch: to show
none, choose **Don't show separately**.

When the store's ERP returns the ICMS rate, an **ICMS** row also appears,
"read from the ERP, lists only". ICMS is already inside the price and the quote doesn't
show it, so its switch applies only to the **ICMS (%)** and **ICMS (R$)** columns
of lists, and it doesn't count as the last shown tax. ICMS comes in the same response
as ICMS-ST: with ICMS-ST hidden in lists, the row says "comes out together with ICMS-ST"
and the ICMS columns don't come out either.

Diagnosing "I turned it on and I don't see tax" starts in the right place: the taxes
in **Estimates and orders** and in **Product page and search**, the key in
**Lists**, all under **Adjust by place**.

## Which taxes Vendria calculates

Vendria calculates the taxes **added on top** of the price (IPI and
tax substitution (ST)), as a percentage of the **net price**,
that is, after the discount. The order is: table price → discount → net
price → + IPI → + ST → total.

Taxes already built into the price, such as ICMS, PIS and COFINS, are not
calculated separately.

The rate comes from the product record. If the customer's price table carries
its own rate for that product, the table's rate wins.

## The company charges tax; you choose where it appears

There is no longer a general company key to turn tax on or off. The
tax registered on the products always applies, and what you configure is **where** it
appears, store by store, in the **Taxes** tab.

Hiding the tax is not just cosmetic in the quote and the order: there the **total**
stops adding the tax. The tax registered on the products **is not deleted**:
show it again and everything comes back as it was.

## Where each thing is decided, place by place

The three blocks of **Adjust by place**:

- **Estimates and orders**: one switch per tax (**In quotes and orders:
shows / doesn't show**), in the **Taxes detected in the catalog** card. It applies in the
quote, the order and the order's PDF and Excel. Hiding every tax
leaves the quote and the order without tax.
- **Lists**: applies to price lists generated from the catalog (the file on the screen, the
preview and the list sent over WhatsApp). It's in the **Lists** block of
**Adjust by place**. As long as you choose nothing there, the list follows the taxes of the
**Product page**, which is how it worked before it had its own key.
- **Product page**: one switch per tax (**On the product page and in search: shows
/ doesn't show**), in the **Product page and search** block. It applies on the product
page and in search, on the screen and on WhatsApp. Hiding all of them removes tax from the
  product page and from search.

**Lists** is a key with the options **Breakdown (Subtotal + taxes +
total)** and **Don't show**.

ICMS-ST depends on the customer. With it shown on the product page, the team picks the
customer on the product page and the ERP calculates the ST for that customer.

A rep agency can decide its own taxes, which apply in place of the
supplier's in quotes credited to it, in the catalog its team sees and in
the catalog of the customers it serves. The
**rep agencies decide the tax** notice lists which ones have done so.

The most common combination uses the keys differently: many companies **don't
want to show IPI in the quote** (the customer negotiates on the fixed price) and at the
same time **want IPI in the price list**, where the information is useful. For
that, in **Adjust by place**: all taxes hidden in **Quotes and
orders** and **Lists** set to **Breakdown**.

## What happens to quotes and orders that already exist

Hiding **all** taxes from the quote applies **immediately**, including to
documents that already exist: the tax already calculated stops appearing on the rows and
stops adding to the total. Nothing is deleted: show a tax again and it
reappears as it was. Hiding **one** tax, with others shown, applies to
new quotes and to repriced ones.

Screens open in other tabs may need to be reloaded to show the
new state. The **Catalog and exports** screen open in another browser tab
also needs a reload for the templates to reflect the key.

## The total on the product page

On the product page, the rate appears according to the switches of the **Product
page and search** block, but it only goes into the **total** if the quote shows tax (some tax
shown in **Estimates and orders**). The product page's
total is a promise about the order that will be created, and the order is what charges.

And the opposite case: with taxes hidden on the product page and the quote showing
tax, the product page shows no rate, but the order will charge it. So,
below the total, the product page says:

> This total doesn't include taxes — the order may charge them.

It says *may*, not *will*, because the product page can't tell "the store doesn't show the
rate here" from "this product has no tax". What it guarantees is that
nobody reads that total as the final value of the order.

## Tax in exported files

In the **Estimate and order templates** cards (**Estimates and orders** tab) and **List templates** (**Lists** tab), in **Catalog and exports**, each key governs a
group: the taxes of **Estimates and orders** govern the tax columns of the order file
(**Line taxes**, **Final Price with taxes** and one column per tax), and **Lists** governs the list's rate columns
(such as **IPI (%)**).

The template applies to every store of the company: the editor offers these columns
when at least one store shows some tax, whichever store
you are in. With all taxes hidden in all of them, they are no longer
offered; the ones already in a template stay there, struck through, with the
**no effect** warning. In the file of a store with all taxes hidden, the column
doesn't come out. **Line total (with taxes)**
still comes out in the order file.

## Taxes detected in the catalog

The **Taxes detected in the catalog** card shows how many of the store's products have a registered tax
("**N** of **M** products have a registered tax") and, for each tax, the
name, how many products have it, how many price table items have it and the
rates found.

It exists to answer the most frequent question: *"I turned the key on and I don't see
tax"*. If the count is zero, the problem isn't the key, it's the catalog. The
tax comes in through the catalog import, by mapping the spreadsheet's IPI or ST
column. See [Import the catalog by spreadsheet](/en/ajuda/importar-catalogo-por-planilha).

## One tax yes, another no

The simple way is the tax's switch in **Store taxes**, which applies
everywhere. For the quote only: in the **Estimates and orders** block of **Adjust
by place**, each tax in the
**Taxes detected in the catalog** card has its own **In quotes and
orders** switch. That's the case for someone who shows ST but not IPI, or the other way round.

- Hiding a tax applies to **new** quotes and to ones that are
**repriced**. Those already calculated keep it until they are repriced.
- Hiding the **last** shown tax leaves the quote and the order without
tax (this was the old **Don't show** of **Quotes and orders**).
- With all hidden, turning one tax on shows **only that one** again.

## Sales rep quotes

A rep agency can choose the tax of the quotes **credited to it**:
with tax, without tax, or with tax except some taxes. In those quotes
its choice applies **in place of** the keys on this screen, even with tax
turned off here. It only chooses among the taxes your catalog already has
registered: if the count in the **Taxes detected in the catalog** card is zero,
there's nothing to turn on.

The same choice applies to the **catalog** the rep agency's team sees: the product
page, search and the product card on WhatsApp. The Partner who turned IPI on sees
the rate even with tax turned off here. The customer it serves (the one in its
portfolio) also sees the catalog by its choice; you and the other customers
keep seeing the catalog by the keys on this screen. Someone who belongs to more than one rep agency sees
the catalog by your keys, because there's no quote there yet saying which of
them they're selling for.

When some rep agency has made this choice, the **Taxes** tab shows a
notice
with its name and what it chose. And on the quote itself, below the totals,
*"Taxes according to the rep agency …"* appears. That's how you find out
why a quote came out with IPI in a store that doesn't show tax.

## When it goes wrong

- **I turned the tax on and the tax doesn't appear in the quote**: check, in this order:
is the tax's switch in **Estimates and orders** set to **shows**? Does the
**Taxes detected in the catalog** card show products with tax? Has the
  quote already been repriced?
- **The tax appears in the price list and not in the quote (or the other way round)**: that's
expected when the **Lists** key and the taxes of **Estimates and orders**
  differ.
- **The tax appears on the product page and not in the list (or the other way round)**: check the
**Lists** key. Once it's chosen, the list no longer follows the product page.
- **The total doesn't match the ERP invoice**: start with the taxes of **Quotes
and orders**, not with the product price, and, in a sales rep quote,
with the notice below the totals. With the tax hidden in the quote and
charged by the ERP, the total the customer sees and the invoice's total diverge, and the divergence
shows up on the invoice, not on the screen.
- **I changed the key and another store didn't change**: the keys apply only to the store
you're in. To change another store, go into it and change it there.
