# Taxes, Commercial Rules and the rep agency's identity

> For the rep agency: choose whether quotes and the catalog highlight tax, the terms a quote starts with, and the logo and contact printed on the PDF.

## Where to find it

In your account menu, in the rep agency block, laid out the same way as the
supplier's:

- **Taxes** are on the **Catalog and exports** screen, in the **Taxes** tab,
  the first one: the choice applies in all the others;
- **Identity on documents** (the logo and the contact) is on the same screen, in the
  **Estimates and orders** tab, after the templates;
- **Commercial Rules** have their own screen, with that name.

They show for members of a rep agency company.

The top of each screen says which rep agency and which organization the
configuration belongs to: *"From <rep agency> in the organization <organization>."*. Whoever belongs to
more than one rep agency chooses which one in the selector next to the title, and the choice
applies on both screens.

**Every member sees it; the Partner or the Administrative changes it.** For the others, the
screens show *"Only the rep agency's Partner or Administrative can change this."*.

**Taxes** and **Commercial Rules** apply to the rep agency **in that
organization**: a rep agency that serves three brands configures three times. The
logo and the contact in **Identity on documents**, on the other hand, belong to the whole rep agency: they apply in
all the organizations it serves.

## Taxes: what the rep agency shows separately, and where it applies

The **Rep agency taxes** card decides whether the rep agency shows
tax separately, and which. The choice applies everywhere the tax shows:

- on quotes and orders **credited to the rep agency**;
- on the team's **lists** (the file, the preview and the list asked of Dri);
- on the catalog the **team** sees (the product sheet, the search and WhatsApp);
- on the catalog of the **customers the rep agency serves**: the customer sees the
  tax by the rule of whoever serves them. A customer served by the supplier, or with no
  rep agency in the portfolio, sees it by the supplier's rule.

The **Rep agency tax** field has three options:

- **Follow the supplier**: quotes follow the supplier's tax
  configuration, as before;
- **Show taxes separately**: shows them, even when the supplier doesn't. A
  switch shows for each tax in the catalog (**shows** / **doesn't show**), to show
  IPI and leave ST out, for example;
- **Don't show separately**: the quotes, the lists and the catalog of the team and of the customers
  it serves go out without tax.

Only the taxes that already came in the supplier's imported catalog count. If the
card says the catalog has no tax registered, there is nothing to show.

The screen doesn't let you turn off the last remaining tax; to remove them all, use
**Don't show separately**. And it refuses to turn off a tax when some store in your
mandate would be left with none, saying which store.

The choice applies to **new** quotes and to **repriced** ones; those already
calculated keep the value until they are repriced. A confirmed order doesn't change.

The quote is the same for whoever opens it: the buyer, the supplier or your
team. The supplier sees, on the quote, *"Taxes as set by the rep agency …"*.

On the catalog there is an exception: whoever is a member of **more than one** rep agency that
serves that store sees the product sheet and the search by the supplier's rule, because there
there is no quote yet saying which of them they are selling for. The same goes for
a store the rep agency's mandate doesn't cover. The quote, when it is born
credited to one of them, comes out with that one's choice.

## Commercial Rules: the terms a new quote starts with

The **Default terms** card has **Default payment terms**, **Default payment
method**, **Default freight** and **Default delivery time (business days)**.
**Store default** in any of them means "I don't set it, the store's applies".

The rep agency's new quote is born with these terms, in this order:
first what the customer's order already said, then the customer's record, then
the rep agency's default and, last, the store's. What the store **locks**
keeps the store's value, and payment terms the store doesn't split into installments
are left out at that store.

The default only fills an empty field: a quote that already exists doesn't change.

## Identity: the logo and the contact on the PDF

The **Identity on documents** card has the **Logo**, the **Phone on the
document** and the **Email on the document**. With the logo or a contact filled in, the PDF
of quotes credited to the rep agency comes out with the **Sales
representative** block, with your logo and contact; the Excel has the name and the contact as text,
without the logo. With no phone or email on the document, the one in the rep agency's
record applies. The supplier is still the one who issues the document.

It's optional: with no logo or contact, the file comes out as always. And it applies to all the
organizations the rep agency serves: changing the logo here changes it on the documents
of all of them.

## When it goes wrong

- **I turned on IPI and the quote didn't change.** It applies to new quotes and to
  repriced ones; a quote already calculated needs to be repriced.
- **The quote came out without my terms.** The customer had terms in their
  record (they come first), or the store locks that field.
- **I turned on IPI and the product sheet doesn't show it.** You belong to more than one
  rep agency that serves that store, or the mandate doesn't cover the store: the
  catalog keeps the supplier's rule. The quote credited to the rep agency
  comes out with its choice.
- **I can't change anything.** Your role in the rep agency is Seller; ask a
  Partner or Administrative.
