# Customer profile: edit details and commercial defaults

> For the administrator: edit the customer's details on the profile, change the responsible seller and set the default terms, payment method and freight.

## Where to find it

In the menu, under **Customers**: click the customer to open the profile. For the
administrator the profile has tabs: **Details**, **Branches** (when the customer has a
branch or head office registered), **Buyers** and **Discounts & Access**. This
article covers the **Details** tab, which is the one that opens first.

The seller opens the same profile for viewing only. Editing is for the administrator.

## How to edit a field on the profile

The fields on the **Details** tab are edited in place, with no save button:

1. Click the value (a pencil shows up when you hover over it).
2. Type the new value.
3. Press Enter or click outside the field. The **Saved** message confirms it.

Esc cancels the edit. An empty field shows as **—**.

## The cards on the Details tab

**General Information**: **Trade Name**, **Legal Name**, **CNPJ/CPF**,
**Person Type**, **State Reg.**, **External Code**, **Phone**,
**Email**, **Invoice (NF-e) email**, **Segment**, **Price region** and **Tags** (separate
tags with commas).

**Address**: **Street**, **Number**, **Address line 2**, **District**,
**City**, **State** and **ZIP code (CEP)**.

**Commercial**: the responsible seller, the discount, the default terms and the
locks, in the sections below.

## External Code and Code in the ERP are not the same number

- **External Code** is your own free-form code, which you can edit.
- **Code in the ERP** shows up only on a customer linked to an ERP, is read-only and shows
the customer's code **in each ERP connection**. What writes that number is the
link to the ERP, not you.

## Price region

The **Price region** is the abbreviation of a state (UF) (for example **ES**) and decides which
regional price rule applies to the customer. When empty, it follows the state of the
address: the profile shows the inferred value with **(from address)**. Fill it in only
when the customer should be treated as being from another region. See [Price rules: table and adjustment by region or by seller](/en/ajuda/regras-de-preco).

## ⚠️ Fields that come from the ERP can't be edited here

On a customer linked to the ERP, **Trade Name**, **Legal Name**, **CNPJ/CPF**,
**State Reg.**, **Phone**, **Email** and the **Address** may come marked
with the database icon: **This field comes from the ERP — fix it there; the sync
propagates it.** They don't open for editing. If Vendria accepted the change, the
next sync would undo it.

The other fields (**External Code**, **Invoice (NF-e) email**, **Segment**, **Price
region**, **Tags**, **Notes** and the whole **Commercial** card) remain yours.

## The responsible seller on the profile

On the **Commercial** card, **Responsible Seller** changes the customer's owner
immediately (message **Seller updated**). **No seller** removes the owner.

- A customer served by a rep agency shows **Served by the rep agency
<name>**. Choosing a seller there **removes the customer from the rep agency**: the screen
asks for confirmation, because all its members lose access.
- When the seller comes from the ERP, the profile says **The seller assignment comes from the
ERP. Fix it in the ERP; the sync propagates it.** and the change is refused.
- Changing the customer's seller doesn't rewrite existing quotes. See [Change the seller of a quote or a purchase](/en/ajuda/trocar-o-vendedor-de-uma-cotacao).

## The customer's terms, payment method and freight

**Payment Terms**, **Payment Method** and **Freight Type** are the
defaults an order for this customer starts with. Each has three situations:

- **inherited from the store**: the field shows **— (inherited: <value>)**. The customer follows
the store's default; change the store's, and theirs changes.
- **the customer's own**: you chose a value. **Inherited from store:
<value>** shows underneath, with **Clear override** to go back to inheriting.
- **None**: neither the customer nor the store has a default.

With installment rules active in the store, the profile warns **The store's installment rules
are active. Payment terms are generated automatically.**
The terms options come from those rules. See [Payment: installments, default terms and payment method](/en/ajuda/pagamento-parcelamento-e-condicao-padrao).

⚠️ Payment terms that don't move forward in time (**10/10/10** instead of **10/20/30**) are
refused on save, with the message showing the two possible readings. Choose the
one that was negotiated.

## Locking the customer's terms

Next to each term there is the **Block** checkbox. When locked, the default **wins over the
buyer's choice**: in the order they place through the catalog, and also for terms
written in an order message: the locked terms stay as registered.

- **(by store)**: the lock comes from the store's settings.
- **(custom)**: you locked or unlocked it just for this customer, and that
  wins over the store.

Locking without having a default makes the field come out empty in the buyer's order.

## Requires buyer review

When checked, the default output for this customer's documents becomes **Send estimate**: the seller delivers the proposal PDF to the customer, and the acceptance comes in through **Customer confirmed**. Closing the order
directly is still possible, but asks the seller for one more confirmation. Use it for
customers who always want to approve first.

## What automatic learning doesn't touch

If the store learns each customer's terms from their orders, the profile
reminds you: **Fields set by the admin are not overwritten by automatic
learning.** An **inherited** field (—) can be learned; a field you
chose here cannot. See [Customer details on documents and learning of commercial patterns](/en/ajuda/dados-do-cliente-nos-documentos).

## Common questions

- **I changed the customer's terms and the open quote didn't change.** The customer's
default only fills in what the document doesn't have yet; terms already
filled in on a quote are not replaced. Change the terms on the quote itself.
- **I can't edit the CNPJ.** The customer is linked to the ERP and the CNPJ comes from there.
- **"The price region is the state abbreviation (e.g.: ES)."** Type only the two letters.
- **"A field synced from the ERP cannot be edited here"**: the field comes from the ERP;
  fix it in the ERP.
- **Where are the discount and price table?** On the **Discounts & Access** tab. See [Customer discount: the default one and the one for each store](/en/ajuda/desconto-do-cliente-na-ficha) and [A customer's price table: assign it on the profile](/en/ajuda/tabela-de-preco-do-cliente).
