# A customer's record

> For sellers: the customer's record in Vendria, with details, commercial terms, branches, related companies, latest quotes and buyers.

## Where to find it

In the menu, under **Customers**. Click a customer's row and their record opens. It
has no menu entry of its own, and the arrow at the top takes you back to the list.

The record only opens customers within your reach: in general, your portfolio. There is
no filter on the screen that widens that.

## Why the record is read-only for those who sell

For sellers and sales reps the record is a lookup: no field of the record is
editable here. That's a decision, not a limitation of the screen: changing the record is the job
of whoever administers your company, and showing fields that would refuse to save
would be worse than not showing them.

The only action the record offers is **Undo link**, in **Related
companies**. It really deletes a saved link between two customers, and
applies to everyone, not just you.

Need to fix payment terms, freight type or some record detail?
Ask your company's administrator. ⚠️ On a customer that came from an ERP, legal
name, CNPJ, email, phone, address, state registration and the responsible
seller belong to the ERP: not even the administrator changes them in Vendria. The
fix is made in the ERP and arrives on its own.

## The Details card

**Details** gathers the record: **Legal Name**, **CNPJ/CPF**, **Address**,
**City / State**, **ZIP code (CEP)**, **Email**, **Phone**, **State registration**,
**Segment** and **Price region**.

Two rows (**Last purchase** and **Seller in the ERP**) always stay at "—" on this
screen. They exist because the same record layout serves the customer read straight
from the ERP, where those two fields have a value; here there is nothing to fill. To see
what the ERP says about the customer, see [A customer's record straight from the ERP](/en/ajuda/ficha-de-um-cliente-no-erp).

When nobody set the price region, it is inferred from the address and shows
with the mark "(from address)".

## The Commercial card

**Commercial** shows the defaults that go into an order for this customer on their own:

- **Responsible Seller**: who owns the portfolio;
- **ERP price adjustment (%)**: only on a customer linked to some ERP.
  It comes from there, is fixed there, and is read again when the customer is used on a quote;
- **Payment Terms**, **Payment Method** and **Freight Type**.

If one of these defaults is wrong, the quote is born wrong every time. It's worth telling the
administrator instead of fixing it line by line on each order.

## The customer's branches

The **Branches** card only shows when the customer has a branch besides the head office. It
lists the active branches, with the **Group** badge counting how many there are: the head office
counts. The table has **Branch**, **CNPJ**, **City / State** and, when there is an
ERP, the **ERP** column, which says on which connections that branch exists.

Clicking a branch opens its details: **Legal Name**, address, **ZIP code (CEP)**,
**State registration**, **Code at the customer's store** (the number the
customer itself gives that store, not the ERP code), **In the ERP** and **Type**: **Branch**
or **Delivery address**.

The **Linked manually** badge marks the branch someone linked by hand because the
ERP doesn't declare its relationship to the head office. The details also show the
date of the link. A CNPJ root different from the head office, in that case, isn't a record
error.

## Related companies

**Related companies** is something else, and shows even on a customer with no
branch at all: they are other customers linked to this one. The **Why** column says the reason for
each one, and a company can have more than one:

- **same CNPJ root**;
- ERP **group**, with the group name and the connection;
- **linked manually**;
- **already used together**: the link a confirmed order recorded;
- **already appeared in an order from this customer**: just an observation: the company went through
  one of their orders, without anyone having confirmed the link.

A branch is record structure; related is an inferred relationship. The list serves
to suggest a destination on an order, not to state that they are the same company. Clicking
the name opens the related company's record.

## Undo the link between two customers

Only saved links (**linked manually** and **already used together**) have the
**Undo link** button. The others are inferred on the fly and have nothing to delete.

1. Click **Undo link** on the company's row.
2. Confirm. The company stops being suggested through that link on future
   orders.

⚠️ If it is also linked by CNPJ root, ERP group or orders in common,
it stays on the list for those reasons: the success message itself warns you. And the
card disappears entirely when there is nothing related or when the linked-companies
suggestion isn't turned on in your company: absence here doesn't mean "this
customer has no relatives".

## Latest quotes and buyers

**Latest quotes** lists the customer's ten most recent documents, with number,
store, date, item count, total and status. The click opens the document, and,
when it is part of a purchase split into several orders, opens the whole
purchase, because customer, total and issues belong to it.

**Buyers** lists this customer's people with email and phone. The phone is
clickable and opens the conversation on WhatsApp. Whoever has neither shows as
"no contact", and whoever was deactivated is marked "inactive".

## When it goes wrong

**"Customer not found."** is almost never a deleted customer: it is a customer outside your
reach. Your company's administrator is the one who adjusts the portfolio.

**A field is empty.** The record doesn't have that detail. If the customer came from the ERP,
the detail is empty there too.

**"No quotes for this customer yet."** There is no document of theirs you can
see. If you know one exists, check with the administrator whether the right customer is
in your portfolio.

**The Branches card doesn't show.** The customer has no branch besides the head office. Other
companies of the same group, if any, show in **Related companies**.
