# A rep agency's profile: mandate, members and portfolio

> For the administrator: manage a rep agency's mandate, end the contract and follow members, customer portfolio and quotes.

## Where to find it

In your account menu, under **Sales reps**, by clicking the rep agency's row.
The top tells you right away where the relationship stands (**Active mandate**, **Ended
mandate** or **No mandate**) and shows **Serves other organizations** when
that rep agency also works for other companies. Below are five tabs:
**Details**, **Members**, **Mandate**, **Portfolio** and **Quotes**.

## The Details tab

It shows the **Registration** (trade name, legal name, CNPJ, email, phone) and the
**CORE registration (Law 4.886/65)**. You edit the fields by clicking them; the value is
saved when you leave the field or press Enter.

Two cases are read-only:

- **Rep agency that came from the ERP**: the registration shows under **Synced from the
ERP**, with a padlock: "Synced from the ERP. To change it, fix it in the ERP — the
sync propagates it." The ERP codes are listed there. Only the CORE registration can be
  edited, under **Vendria registration**.
- **Rep agency that serves other organizations**: the registration is shared,
and editing is done by the platform.

The **ERP submission** card shows, read-only, whether **Sellers send
orders to the ERP** and whether **Sellers see the queue of unowned orders**. The
rep agency itself decides this, because its registration applies to every
company it serves. When sending is off, an order a Seller
confirms stays waiting, and the one who sends it is the Partner or the Administrative staff.

## The mandate is what turns access on and off

On the **Mandate** tab, the **Contract (Law 4.886/65)** card brings together:

- **Commission rate (%)**;
- **Zone exclusivity**: **No exclusivity**, **Partial** or **Total**;
- **Territory / zone**;
- **Open-ended**: when off, **Ends on** shows up for the date;
- **Exclusive rep agency (sells only for us)**.

If your company has more than one store, the **Stores the sales rep
serves** card defines the reach. **None checked means all the company's
stores.** Save with **Save mandate**.

⚠️ **The term is informational: expiring does NOT end the mandate.** Once the date passes, the
contract stays active and the team keeps access; the screen only warns *Contract
expired on <date>*. What cuts access is **End mandate**, and only that.

⚠️ Checking **Exclusive rep agency** on a rep agency that has an active contract
with another company in Vendria makes the screen warn that the clause and the facts
disagree.

## Ending the mandate

1. Click **End mandate**.
2. If the rep agency has customers, choose the **Portfolio destination**, or
   **No seller (reassign later)**.
3. If you want, write the **Reason for ending** and check **Ending for
   just cause**.
4. Confirm with **End mandate**.

The whole team's access to your company is cut immediately. Old documents
stay assigned to whoever made them. Choosing another rep agency as the destination
hands the customers to its **company**, not to the person the name suggests.

Once ended, the tab shows the ending and the button becomes **Create new
mandate**: that's how you resume the relationship.

## Members: how long you manage them

As long as the rep agency has no Partner who has confirmed their account, you are the one
managing the team: you add, edit, request confirmation and remove. When the Partner
confirms the account **by email**, management passes to them.

If it was **your** company that registered the rep agency, you can still add and
edit for a few days (the screen shows until when), to finish the registration you
started. If the rep agency already belonged to another company when you signed the
mandate, that window doesn't exist.

The step by step to add, request confirmation and remove is in [Members of a rep agency: add, confirm the account and remove](/en/ajuda/membros-de-uma-representacao).

## The Portfolio tab

The **Customers** card adds up the rep agency's customers in Vendria and the ones the
ERP already assigns to it; it shows "at least" when the ERP part hasn't been
read in full yet.

Under **Portfolio customers**, **Add customer** opens the search. A customer of
another seller or another rep agency asks for transfer confirmation. The
trash icon on the row removes the customer from the portfolio, and they stay without a seller until a new
assignment.

⚠️ The customer always goes to the **whole rep agency**, and every member
reaches them, even when the window asks for a **Responsible member**. That's why the
rep agency needs at least one member before receiving customers
("Register a member before building the portfolio.").

A customer whose assignment came from the ERP has the trash icon disabled: fix it in the ERP,
and the sync propagates it.

The **In the ERP (not on Vendria yet)** block lists, read-only, the customers
the ERP assigns to the codes of the rep agency and its members. A customer from there
comes into Vendria when used in a quote, already assigned.

## The Quotes tab

Here the split by person is the right one: the **Quotes** and **Revenue** cards, the
**By member** table and **Recent quotes**. The customer belongs to the company and applies
to all members; the quote belongs to whoever made it. That's why Portfolio and Quotes
are separate tabs.

## When it goes wrong

**"An ended mandate cannot be changed."**: create a new mandate instead of
editing the old one.

**"Portfolio destination cannot be a member of the ended mandate."**: choose
someone outside the rep agency that is leaving.

**"Could not load the portfolio."**: use **Try again**. Don't
conclude that the portfolio is empty.
