# Deactivate, remove or change a user's password

> For the administrator: deactivate, remove or change a user's password, and what happens to the person's access, portfolio and history.

## Where to find it

In your account menu, under **Users**, in the **⋯** menu on the person's row:
**Change Password**, **Deactivate** (or **Activate**) and **Remove**. You do not see
**Deactivate** or **Remove** on your own row.

## Deactivate: the right way to take away access

**Deactivate** asks for confirmation ("The user will not be able to log in.") and cuts
access immediately. The person can no longer get in through the site or the WhatsApp link.

There is **no** change to the following:

- Quotes, orders and conversations stay where they are, with the name of
whoever made them. History is not rewritten.
- Roles and stores stay recorded. **Activate** gives the access back exactly
  as it was.
- The customers in a deactivated seller's portfolio stay assigned to them.

⚠️ **A seller who leaves: use Sellers, not just Deactivate.** Deactivating does not touch the
portfolio. To remove a seller and hand their customers over, use the
trash can on their row in **Sellers**: it asks where the portfolio goes. See [Register sellers and assign customers](/en/ajuda/cadastrar-e-atribuir-vendedores).

⚠️ **Deactivating applies to all of Vendria, not just your company.** There is only one
account. If the person also buys from another supplier that uses Vendria, they
lose that access too.

## Remove: what actually happens

The **Remove** window warns "This action cannot be undone", but today
**Remove** does not delete the account: it deactivates the person, the same way as
**Deactivate**. Links, documents and history stay. The person stays
in the list, marked **Inactive**, and **Activate** brings them back.

The same cautions apply: deactivation reaches the whole account, and a seller's
portfolio does not move by itself.

## Removing a buyer from a single customer

If the buyer left that customer but still buys through another, do not
deactivate them. In **Customers**, open the customer, go to the **Buyers** tab and use
**Unlink** on their row. This removes only the link to that customer; the account
and the other links stay intact.

## Changing someone's password

1. In the row's **⋯** menu, click **Change Password**.
2. Type the **New Password** and repeat it in **Confirm password**, with at least 6
   characters.
3. Click **Save**.

Saving the new password ends the person's open sessions on any device and
invalidates the sign-in links they had received over WhatsApp and not yet
used. It is the right move when an access has leaked.

For a buyer, the same exists in the customer profile, **Buyers** tab, under
**Reset Password**.

Agree on the new password with the person through a channel of your own: Vendria does not send the password
to them.

## Who can do what

- Someone with the **Company owner** or **Company Admin** role can only have
their password changed, be deactivated or removed by the Owner. For other
administrators, these options do not appear on the row.
- The **Store Admin** only reaches people in their own stores.
- Nobody deactivates their own account.

## When it goes wrong

**"The company needs at least one active owner"**: you tried to
deactivate or remove the last Owner. Give the role to someone else first.

**"This user is the only Partner of: ..."**: the person is also the only Partner of
a rep agency, and deactivating them would leave that team without a lead. Ask the
rep agency to promote another Partner first.

**"This user is a Partner of: ..., which also serves other organizations"**: who
chooses the lead of that rep agency is the agency itself. If what you want is to end
the relationship with it, use **End mandate** in the rep agency's profile.

**"User not found."** when deactivating, activating or changing the password: these
actions look for the person in the store you are working in at the moment. Switch
to one of the person's stores and repeat. For a buyer, deactivate with **Remove** and
change the password in **Reset Password**, on the **Buyers** tab of the customer
profile.

**"Passwords do not match"**: the two password fields are different.

**"This account has its own access on the platform..."** when resetting a
buyer's password: the person is also on the team of some company, and that password
cannot be changed through the customer profile.
