# Quotes in the administrator's view: everything in the company and the filters

> For the administrator: see all of the company's quotes and orders, filter by status, seller, store and ERP, and find what was left without a seller.

## Where to find it

In the menu, under **Quotes**. The screen is called **Quotes and Orders**: a quote and
an order are the same document at different stages, and the list shows both.

## What the administrator sees, and what changes for the seller

- **Every document in the company**, from every seller and every store.
The typist, on the same screen, also sees the documents of every
customer; the one who sees only their own portfolio and what is in their name is the
  **sales rep**.
- The documents with **no seller**: the queue nobody has taken. The typist
also sees them; the sales rep sees only the ones in their rep agency's queue.
- The **Select** action, to mark several documents as a test at once.
- On the documents, changing the responsible seller and marking as a test. See [Change the seller of a quote or a purchase](/en/ajuda/trocar-o-vendedor-de-uma-cotacao) and [Mark a quote as a test](/en/ajuda/marcar-cotacao-como-teste).

⚠️ The list covers the stores that are **active** and have the **web portal for buyers**
turned on. Documents from a deactivated store, or one without that portal, do not appear here.

## The filters of the quote list

The filters sit behind the **Filters** button. Each filter turned on becomes a tag
above the list, with an X to turn it off; **Clear** turns them all off.

- **Status** (the status): by default, **All active**: everything except **Rejected** and
**Cancelled**. **All, including closed** also shows those two. There is
also one status at a time: **Draft**, **Waiting**, **Waiting for customer
approval**, **Confirmed**, **Exported**, **Rejected**, **Cancelled** and
  **Expired**.
- **Source**: **Text**, **Audio**, **Image**, **PDF**, **Spreadsheet**,
**Page**, **From scratch (built on screen)**, **Generated from saved demand** and
**Inactive-customer campaign**. The format ones combine WhatsApp and the file imported
on the site; the badge on each card says which door it came through.
- **Store**: **All stores** or a single one.
- **ERP status**: **ERP: not sent yet** (confirmed and not sent yet),
**ERP: not in the ERP** (was sent and is not in the ERP: refused, removed from the
queue, and also the ones Vendria is still sending or retrying),
**ERP: waiting for import** (the order reached the ERP and has not been
imported yet) and **ERP: imported**. The pre-sale does not count: an imported order
whose pre-sale is still waiting appears under **ERP: imported**, as the card's badge
says. When the store sends orders to the ERP, **ERP: not in the ERP** shows
how many are in that slice.
- **Seller**: **All sellers**, one or more sellers, or **No
seller**. Each name shows how many documents it has.
- **Rep agency**: appears when there is a rep agency with an order; it slices everything
that belongs to that rep agency company, whichever of its people it is.
- **Typist**: appears when someone entered an order on behalf of someone else (for
example, your team typing for a sales rep).
- **Customer**: **All customers** or one or more customers.
- **Tests**: **No tests** (default), **With tests** or **Tests only**. The number
in parentheses next to it is how many test documents are in the slice.

## Search for a quote

The box **Search by customer, CNPJ, seller, typist, rep agency, item or
destination** searches all of that at once: the customer by name, legal name, CNPJ
or code (including the branches'), the document number, the seller, who
typed it, the rep agency, the code or description of an item and the destination of an
allocation. Press Enter. The row found says **Found by** and the reason.

## Find what nobody has taken

In the **Seller** filter, **No seller** comes first and shows how many documents
have no owner. A document with no seller cannot have its quote sent to the
customer: the quote itself warns **Seller not assigned** (*"sending the
quote is refused"*) and asks an administrator to assign one in the
**Seller** block. Open it, choose the seller and it moves again.

## Purchases with several orders

When a purchase became several orders (one per store, for example), the list shows
a **Purchase** card with the orders inside, the overall status and how many orders there are.
Clicking the card opens the purchase page; clicking an order opens only that order. See [Quando um pedido vira vários: a compra multi-loja pelo lado da casa](/ajuda/compra-multi-loja-do-lado-do-vendedor).

## Closed documents and tests disappear from the default list

The working list hides three things, and all three still exist:

- **Rejected** and **Cancelled**: use **All, including closed**;
- **test** documents: use **With tests** or **Tests only**;
- empty drafts, with no item at all: these do not appear under any filter.

There is no deleting a quote. What takes a document out of the way is rejecting,
cancelling or marking it as a test. See [Cancelar um pedido ou rejeitar uma cotação](/ajuda/cancelar-ou-rejeitar-uma-cotacao).

## Common questions

- **The seller says they cannot see a quote that I see.** If they are a
**sales rep**, they see only their own portfolio and what is in their name: a customer from
another portfolio, with the document in someone else's name, does not appear for them.
A typist sees the same documents you do. Check which store their
session is in, the situation filter and whether the quote was marked as a
  test.
- **A quote disappeared from the list.** It was rejected, cancelled or marked as a test,
  or its store was deactivated.
- **The Seller filter does not appear.** It only appears when there is more than one possible
answer: two sellers, or one seller plus the queue with no seller.
- **"No test documents in this list."**: there is no test in the slice with the
  **Tests only** filter.
