# Register a user and grant access

> For the administrator: register sellers, administrators and buyers in Users, choose roles and stores, and add people who already have an account.

Source: https://vendria.com/en/ajuda/cadastrar-usuario-e-dar-acesso

## Where to find it

In your account menu, under **Users**. Each tab has its own create button:
**New User**, **New owner**, **New company admin**, **New Admin**,
**New seller** and **New buyer**. Next to it is **Add
existing**.

## Before registering: does the person already have a Vendria account?

If the person already uses Vendria (for example, they buy from you or from another
supplier), do not create another account. Use **Add existing**:

1. Type the **Person's email or phone**, in full, and click
**Search**. The search does not list people from other companies: you need the
   exact contact.
2. Choose the **Role in this company**: **Company owner**,
**Company administrator**, **Store administrator** or **Seller**.
3. For store administrator and seller, tick the **Stores**.
4. Click **Add**.

The links the person has with other companies do not change. Anyone who is already part of
another company's team is refused ("This person is already part of another
company's team..."); in that case Vendria support makes the link. A buyer is not
added here: see [Give a buyer access: catalog, WhatsApp and stores](/en/ajuda/dar-acesso-a-um-comprador).

## Register a new person, step by step

1. Click the create button of the right tab, or **New User** and choose the
   **Profile**.
2. Fill in the role's fields (stores, code, customer; see below).
3. Under **Person's details**, fill in **Name** and at least one of **Email** and
**Phone**. Both are unique in Vendria.
4. If you want, set the **Password**. Left blank, it is **Generated automatically if
   empty**: a password nobody knows.
5. Click **Create**.

⚠️ **No invitation is sent.** The account is born ready, and it is up to you to arrange
how the person will sign in: with the password you set, through the WhatsApp link
on the sign-in screen, or through **Forgot my password**. See [First access: how the people you registered sign in](/en/ajuda/primeiro-acesso-de-quem-voce-cadastra).

## The fields of each role

- **Store Admin** and **Seller**: tick the stores, one by one or with **All
stores**. At least one store is required: without it the screen refuses with "Choose
  at least one store for...".
- **Seller**: also has the **Seller code** and the **Seller type**
(**Sales rep** or **Internal**). For a seller who came from the ERP, the type
is no longer editable: the screen shows "Synced from the ERP — the type is
managed automatically.", and the sync decides.
- **Company owner** and **Company Admin**: have no stores to tick:
they apply to the whole company.
- **Buyer**: asks for the **Customer (company)** they buy for and, if you want,
the **CPF**. This buyer's stores are controlled in the customer's profile.

⚠️ **All stores** ticks today's stores. A store created later does not get added
on its own to the registration of a Store Admin or a Seller.

## The seller code is not the ERP code

The **Seller code** is the person's identifier inside Vendria; if you leave it
empty, Vendria generates one. It must be unique in your company. The
screen itself warns: "Vendria internal code — not the ERP code or user."

The ERP identity is linked in the person's profile, connection by connection, and it is what
makes the order go out with the right attribution. Repeating the ERP code in this
field attributes nothing. See [A user's profile: ERP identity and rep agencies](/en/ajuda/ficha-do-usuario-identidade-no-erp-e-representacoes).

## The roles, in short

**Company owner** and **Company Admin** administer the whole company,
but only the Owner grants these two roles. **Store Admin** administers only the
ticked stores. **Seller** serves their portfolio. **Buyer** is the customer,
who buys through the catalog. The full table is in [Vendria's roles: what each one sees and does](/en/ajuda/papeis-da-vendria).

## The phone links the person to WhatsApp

The phone is how Dri recognizes who is writing. A seller created only
with an email signs in normally, but does not talk to Dri from their own number. A
wrong phone makes the message arrive as if from an unregistered number.

## Change the roles of someone who already exists

In the row's **⋯** menu, click **Edit**. Each role is a card under
**Roles**: click it to see the stores, use the trash can to remove it and
**Add role** to give another one. **Save** stores the whole set: an
administrator or seller role that is not among the cards stops applying
in this company. To remove a buyer from a customer, use **Unlink** in the
customer's profile.

## Removing access

Use **Deactivate** in the **⋯** menu: it cuts access immediately and keeps the history.
See [Deactivate, remove or change a user's password](/en/ajuda/desativar-remover-e-trocar-senha).

## ⚠️ A Vendria user is not an ERP user

This screen registers who signs in **to Vendria**. It does not talk to your ERP's
user registry, and one does not become the other.

The exception is SELLERS: with the seller sync turned on, the ERP's sellers
come in on their own and already arrive with access. It is off by default and turned on store
by store. A FIELD seller comes in as a **sales rep**, in a rep
agency, and is managed in **Sales reps**. See [What the ERP brings on its own, and what stays manual](/en/ajuda/erp-o-que-vem-sozinho).

## When it goes wrong

**"Email already registered"** or **"Phone already registered"**: the person already has an
account. Use **Add existing**.

**"Only the company owner can manage company
administrators"**: creating or editing Owner and Company Admin is for the Owner only.

**"You can only manage users of your own stores"**: as a Store Admin,
you can only tick your own stores.

**"This company has no stores yet — create one before giving this profile."**:
seller and store administrator need a store to exist.

**"Invalid phone format"**: check the area code; the example format is
+5511999999999.
