# Get notified when the order changes status in the ERP

> Dri lets you know when the order is authorized, goes into picking, is invoiced, is not authorized or is canceled in the ERP. Set it up in Notices.

## What it is

After the order goes to the company's ERP, Dri can let you know **without you
asking** when it moves to another stage:

- the order **was authorized**;
- the order **went into picking**;
- the order **was invoiced** (with the invoice number, the amount and the carrier, when the ERP
  has that data);
- the order **was not authorized** (for example, rejected for credit);
- the order **was cancelled** (with the reason recorded in the ERP).

All five come checked: uncheck in My notices the ones you do not want to receive. Whoever manages the
team may not enable a stage, and then nobody on the team receives it.

The notice always appears in the site's bell and, besides that, on the channels you choose:
WhatsApp or email. Messages only go out from 8 a.m. to 9 p.m.: what changes
overnight arrives in the morning.

Every notice has **See order**, which opens the order in Vendria. On WhatsApp, the **See
order** button opens the order with you already signed in, without asking for a password. It is personal and valid for 72
hours: **do not forward the message**, because whoever taps the button gets into your account.
After it is used or expires, the button asks for login and then goes to the order.

## Where to set it up

In your account menu, open **Notices**.

### My notices

- **How you receive**: check one or more channels. A channel not yet connected to
your account (for example, WhatsApp with no phone registered) appears disabled, with the
  reason.
- **In each team you belong to** (the company, or the rep agency within each
company it serves): turn on **Receive notices** and check the **stages** you want to
receive. All five come checked, **unauthorized** and **cancelled** included: uncheck
the ones you do not want. A stage that whoever manages the team has not enabled appears disabled.
When only whoever manages the team changes the notices, the stages are locked for those who do not
manage: all the enabled ones apply. Anyone who wants to choose their own needs the team
to have **Each person changes their own notices** turned on, in the Team tab.
- Whoever manages the team chooses, in each notice's **Notify right away**, whose orders they get right away:
**Only mine** (the default: only your orders), **The whole team** (the orders of any
of its sellers and those that arrive with no seller, like an order typed in the ERP) or **None**. The choice applies only to that notice. The digest has its own switch, **The whole team's
orders**, in each digest's editor, and it comes turned on: whoever manages follows the whole
team through the digest, including orders that arrive with no seller.
- In the digest editor, each checked notice says which cases go in: the same as your instant
notice, by name. **Choose others for this digest** opens the options only for that
digest, and **Back to my instant notice's** undoes it.

To check that the notice arrives, use the **Test** button next to each channel, in **How
you receive** (WhatsApp, Email): it sends a sample
order only through that channel, even if you have not checked it yet. The screen says what
happened. The test does not count as an action, and each person gets up to 6 tests every 24 hours.
Whoever manages the team can send the test to one of its people, in Team; in Customers, the
**preview** of the customer notice goes to whoever asks for it.

Turning it on also applies to orders already open. What Dri reports is always the
**next** change of each one: if the order was already in picking when you turned it on, you
do not get "went into picking", you get it when it is invoiced.

### Team

Appears for whoever manages a team: the company's owner and administrator (for the in-house
sellers) and the rep agency's Partner and Administrative member (for its team).

- **Each person changes their own notices**: on, each person turns on, turns off and chooses the
stages of their own notice. Off, only whoever manages changes it, and the person sees their notice
locked, with your name, unable to check **unauthorized** or **cancelled**. In
both cases you turn on or off anyone's notice in the list, and they keep
choosing which channel they receive on.
- **Enabled stages** (on the Stages and channels enabled for the team card): the five
options above, all enabled at first.
Uncheck one so nobody on the team can receive it. Each person chooses theirs in
My notices; whoever never chose receives all the enabled ones.
- **Channels enabled for the team**: check how the team can receive (WhatsApp,
Email). Each person checks theirs in My notices, within the ones
enabled here; an unchecked channel takes no notice from this team to anyone. Only a notice
delivered on WhatsApp counts as an action in the credits panel, and if the account
has billing enabled (the **Block when it runs out** option on) and no
balance, WhatsApp does not go out; the bell and the other channels continue.
- **People**: the **Own orders** column turns on the notice for orders where the person
is the seller; the **Right away, the team's** column, only for whoever manages the team, makes the person
also get right away the orders of any of its sellers, even with the stage notice
turned off. The digest brings the whole team's orders to whoever manages through the digest's own
switch. Open a person to see their latest notices,
which channel they went out on and, when one did not go out, why.
- Each notice delivered on WhatsApp also appears on the **Actions** screen, as a row of
type **Alert**, with who received it, the order and what it used.

### Customers

Appears for whoever pays for the customer notice: the company's owner and administrator (for the
company's customers and, when the company absorbs the rep agencies' usage, for
their customers) and the Partner and Administrative member of a rep agency that pays its own usage.

- **Notify customers**: turns on the customer notice and chooses the stages they receive.
- **How the customer receives**: check one or both channels (WhatsApp, Email). Each
customer receives on the checked channels they have: phone or email linked to their
account. Only a notice delivered on WhatsApp counts
as an action in the credits panel; if the account has billing enabled (the
**Block when it runs out** option on) and no balance, WhatsApp does not go out and the other channels
  continue.
- **View the preview**: one button per checked channel sends you the notice the customer
receives, with a sample order. It does not count as an action.
- **Who gets it**: **All customers** (every customer of the company, or every customer
served by the rep agency), **Only customers in my portfolio** or **Choose one
by one**. Your portfolio is the customers where you are the responsible seller in the customer's
registration. In a rep agency's tab the choice is only between all customers and one
by one. Changing the choice applies from then on: nobody gets notices about what had already
happened. When someone else's portfolio applies, the screen says whose it is and offers
  **Use my portfolio**.
- **Customers**: in **Choose one by one**, search for the buyer and tap **Add**. They
start receiving right away, without having to accept an invitation. **Remove** stops notifying
right away. In the other two choices the list only shows who receives. Each row says on which
channels that customer receives; whoever has no contact on any checked channel does not receive.
- A customer who taps **Manage notices** and stops receiving is left out in any
choice. Whoever asked to stop only starts receiving again on their own, through the
Manage notices link of a notice they already received.
- A customer whose orders belong to a rep agency appears with its name: their notice
is turned on in the rep agency's Customers tab, not the company's.
- The customer notice never shows the internal order number or the reason for a rejection:
it says the order was approved, invoiced (with the invoice) or could not be approved, and
asks them to talk to the sales rep.
- Every notice has the **Manage notices** button, where the customer stops or starts receiving again.

### Deadlines

Appears for the company's administrator and for whoever manages a rep agency. For the
administrator, it sets how long an order stuck at a
stage keeps being followed: the defaults are 45 days under review, 90 days authorized and
45 days in picking. Only the company's owner and administrator change these deadlines.

A rep agency can have its own deadlines for its orders. Whoever manages the
rep agency sets them in its **Deadlines** tab, on the **Rep agency order
deadlines** card; the company's administrator adjusts them in **Sales reps**, in the
**Configure** of that rep agency. There are two numbers per stage: "flag as stuck after"
and "stop following after". A blank field follows the company's deadline, which appears in the
field itself. The numbers apply to the rep agency's orders, for everyone who
follows them; the in-house sellers' orders follow the company's deadlines.

## Can I turn it on or off for a single order?

No. The notice applies to all the orders your setup in **Notices** reaches, and
that is the only place to turn it on, turn it off and choose the stages and channels. The **Notify
when this order changes status** switch, which was in the ERP box of the order page,
no longer exists.

Whoever had turned on or silenced an order with that switch keeps it that way on that order,
until it is invoiced, cancelled, not authorized or drops out of follow-up by deadline.
This applies even if the notice is turned off later in **Notices**: the order turned on by the
switch keeps notifying until it closes, and no screen undoes that old choice.

## When the notice stops

Following an order ends when it is **invoiced**, **cancelled** or **not
authorized** in the ERP, or when it stays **stuck too long** at a stage (the deadlines above).

An order split into parts in the ERP (for example, an allocation among branches) may have one
part cancelled with no reason while the other goes on: in that case Dri does not report a
cancellation, because the order keeps moving.

## Orders that are not followed

The notice only exists for orders sent to an ERP that Vendria can follow.
If your company uses an ERP where this does not exist yet, turning on the notice in **Notices** does not
generate notices for those orders.
