# Adjust the list without redoing the whole request

> Ask Dri to change the selection, the order, the columns or the format of a product list she already built, without repeating the whole request.

## What it is

After Dri builds a product list, what you want is almost always
**that same list with one thing different**: *"drop the price limit"*,
*"now only the kitchen line"*, *"add the NCM"*, *"send it in Excel"*. You do not need to
repeat the whole request. Dri keeps the list's recipe (the selection, the order, the
discount, the columns) and applies only what you changed.

This matters because the recipe is what builds the file that goes to the customer. An
adjustment that stayed only in the conversation would not reach the spreadsheet.

## How to ask for a list adjustment

Send the adjustment in one sentence, right after the list, the way you would talk to a
colleague:

- *"now only the ones in stock"*: adds a filter;
- *"up to R$ 20"*: replaces the price range that already existed;
- *"drop the ABC curve"*: removes a filter;
- *"remove AB11659 and AB11103"*: removes products by code;
- *"sort by price, lowest to highest"*: changes the order;
- *"put the NCM as the third column"*, *"without the description"*: changes the columns;
- *"send it as PDF"*: changes the format.

Several adjustments fit in a single message: *"drop the ABC curve, add the NCM and send it in
Excel"* is one request.

## Do not send the list file back

To change a list, write the adjustment; do not resend Dri the PDF or spreadsheet
she sent. The returned file is not read as an adjustment request: it becomes a
**quote**.

When the file comes back with the name Dri gave it (it starts with "lista" and has
the date and time of the export), she recognizes it is a Vendria catalog list
and does not use the stock or the box as the quantity, nor the list price.
Even so she builds a quote with the file's lines, each with an
assumed quantity, and answers *"📋 This file is a catalog list generated
by Vendria, not an order"*, asking how much of each goes in. The file name
does not become a customer name either.

If the file was **renamed**, or if you send a **screenshot** of the list, Dri has
no way to know it came from her: she reads it like any order, and the stock or the
box may become the quantity.

The right way is to write what you want from that list: *"from that list, only the
ones with more than 5 boxes"*, *"send it in Excel"*, *"remove the price column"*. For about
an hour after the last delivery, Dri knows which list you are talking about
even without the file.

## What you don't mention stays

An adjustment has three possible outcomes for each filter, and the third is the one
that is usually missing:

- **you mentioned** the filter → the new value **replaces** the previous one;
- **you did not mention it** → it **stays** as it was;
- **you asked to remove it** → it **goes away**.

That is why *"drop the price limit"* and *"don't touch the price"* are different
requests. Not mentioning the price does not erase the price range: it keeps
applying.

**List built from codes.** The codes you sent are also part of the
recipe, and an adjustment keeps applying only to them. If the next request is about
another product and Dri reads it as an adjustment, she looks for the new product within the
old codes, and the answer may say none passed the filter. To
change the subject, ask for the new list describing the whole request, without starting
with "now".

## Changing a filter is different from removing it

To **change** a filter, send the new value: *"now up to R$ 50"* on a
list that went up to R$ 10 becomes a list up to R$ 50. Use "drop" only when you want
the filter to stop existing.

The **store** follows the same rule: in an adjustment, the list stays in the previous store.
To go back to all the stores you serve, say so: *"now from all
stores"*.

## The top 20 stays when you only narrow

If the list was *"the 20 best sellers"*, an adjustment that only **narrows** keeps the
cap of 20: more stock, lower price, fewer values of an attribute, or a new
filter added. An adjustment that only touches the presentation (columns,
grid, template, discount) also keeps it. The check line says *"kept …
the top 20"*.

The 20 are the first **within the new selection**: if one of the previous 20 was left
out because of stock, the 21st comes in.

The cap drops, and the list comes back whole, when the adjustment:

- changes the order (the top 20 of one order is not that of another);
- changes the product or the search term;
- removes a filter, widens a range or adds values to an attribute;
- changes store or goes back to all stores.

To keep the cap in those cases, say it again: *"only the first 20"*.

## What accumulates between messages

Three things **add up** instead of replacing, because that is how people talk:

- **products removed by code**: removing B after having removed A leaves
  both out. To bring them all back, ask *"bring back all the items I
  removed"*;
- **columns added**: asking for the color after the barcode gives you both;
- **columns hidden**: asking to remove the price and then the description removes
  both.

Asking back for a column you had removed (or removing one you had asked for)
follows the **newest** request: *"add the NCM"* followed by *"remove the NCM"* delivers the
file without the NCM.

⚠️ Removing a product **by code** is different from removing **by condition**.
*"Remove the zeroed ones"* describes a set and becomes a stock filter; *"remove
AB11659"* names an item. Both work, but they change different things.

## How to check what changed in the list

The answer to an adjustment starts with an account of what was done, in the form *"I adjusted the
previous list: changed …; added …; kept …; removed …"*. Read that line before
forwarding the file: it says what changed in the filters, the order and the design
(grid, table, photos), what was added, what stayed the same and what came out.

**Adding, removing or renaming a column does not appear in that line as a change.** It
does not become "added" or "removed"; what may come out is a "kept" about columns already
changed in the previous list, like "kept the columns you hid". Only
when you dictate the whole column order does the line say *"reordered the columns"*.
To check the columns, look at the file.

In the filter line, a hidden column appears as "without" followed by its name,
for example "without NCM". That is not a filter: hiding a column does not change how many
products go into the list.

If the number of products changed compared to the previous list, a second
sentence comes, for example *"There were 496, now 493: 3 left the selection."*. This happens
because every adjustment redoes the search in today's catalog: between one message and another,
an item may have run out of stock.

## When the list had already been sent

If you had already received the file and ask for an adjustment without saying the format, Dri
sends the file again **on her own**, in the same format as the last delivery. You do not
need to choose Excel or PDF again.

**For the same list in another format, write it.** Tapping a button on the message
delivers the file and ends the conversation, and that is why a second tap on the same
message (another format or another template) usually comes back with *"I couldn't
retrieve that list here"*. What works is writing *"send it as PDF"*, *"send it
in Excel"* or *"send the list in template"* followed by the template name.

The previous list is not deleted. Each adjustment generates a new list from the
previous one's recipe: the file you already sent the customer still
matches the earlier list.

## "Which list?": when she asks instead of refusing

For about **an hour** after the last time you changed a list (or
received it as a file), she goes back to that context on her own when you **write**, even
in a new conversation, and the adjustment simply works. That window applies to what
you type; the buttons on an old message do not get it.

After that time, Dri does not answer that there is no list: she **asks which one**:
*"Which list do you want me to remove that from?"*, and shows up to five of your lists from the
last 12 hours, each with the selection, the store, the time and the number of items.
Answer with the option number or the list number.

**The shape of the request decides whether she asks.** A message that only touches the
presentation (remove a column, reorder, change the format) does not describe a
set of products: it only makes sense as an adjustment to some list. That is why
Dri asks instead of building a new list of the whole catalog with one column
less. A request with its own selection (*"list of mugs up to R$ 10"*) is a new
list, and goes out directly.

## Picking the wrong one is not a dead end

Picked the wrong list? Ask again pointing to the other one. The list is always rebuilt
from the saved recipe, and nothing from the previous list is lost.

## The file is a snapshot of the day

The recipe keeps the **selection**, not the products. An adjustment made tomorrow comes out with
tomorrow's price and stock. That is usually what you want, but it is worth remembering before
resending an old list to a customer.

## Common questions

- **I asked to remove a column and Dri asked which list. Why?** The list
  you wanted to adjust left the window of about an hour. Choose in the
  question, by the option number.
- **The adjustment brought back a filter I didn't want. Why?** You did not
  ask to remove it, so it was kept. Say *"drop the …"*.
- **The new list has fewer products than the previous one. What happened?** The adjustment
  redid the search in today's catalog, and the sentence *"There were …, now …"* says how many
  left.
- **I had asked for the 20 best sellers and the adjustment brought hundreds. Why?** The
  adjustment changed the order, changed the product searched, removed or widened a filter, or
  changed the store, and that undoes the cap. Ask again *"only the first 20"*.
- **I tapped Excel after already receiving the PDF and Dri said she couldn't
  retrieve the list. What do I do?** Write *"send it in Excel"*. The
  first tap ended the conversation, and the second button no longer reaches the list;
  the sentence reaches it for about an hour.
- **I tapped the list button and Dri answered "No active list". What do
  I do?** Ask for the list again describing the selection, or download the file that had already
  gone out in the **Sent lists** menu, through the **Format** column of that list's row;
  if the list is from the last hour, writing *"send it in Excel"* or *"send it as PDF"*
  also works. Dri answers *"No active list. Generate a new list
  first."* when the tap comes from a button on an older message and the
  conversation no longer keeps any open list (for example, because an earlier tap
  delivered a file and ended the conversation). On the buttons of the most
  recent messages, the same case comes back with *"I couldn't retrieve that list
  here"*, the answer to the question above. This does not
  depend on the window of about an hour, which applies only to what you write.
  It works the same for the seller and for the administrator.
- **I sent back the list PDF and it became a quote. Why?** A file that arrives
  is read as an order. To adjust the list, write what to change, for example
  *"from that list, only the ones in stock"*.
- **I want another list, not an adjustment. How do I ask?** Describe the complete selection,
  with the product or the brand: a request that explains itself is a new list.
