# The purchase page: confirm, reject and add stores all at once

> On a purchase page with several orders: confirm or reject everything at once, add another store and set the purchase's customer and seller.

## Where to find it

In the menu, under **Quotes**, click a **Purchase** card in the list. The page opens
with the title **Purchase** and its number, the overall status (**Partial** when the
orders are in different situations) and the summary line: how many orders,
how many items and the total. The date and the source sit on that line when the purchase was
built on screen; when it was born from something the customer sent, they live in the
**Extraction** block, right below.

A purchase exists when a customer's order has items from more than one store of
your company: on closing, it becomes one order per store, and the purchase groups the
orders. To understand why this happens, see [When one order becomes several: the multi-store purchase from the company's side](/en/ajuda/compra-multi-loja-do-lado-do-vendedor).

## The parts of the purchase page

From top to bottom:

- the batch buttons: **Download all**, **Reject all** and **Confirm all**;
- **Orders in this Purchase**, the first block: one card per order, with the store
as title, the number, the item count and, when there is something to resolve, the
  amber mark with the number of issues in that order;
- **Extraction**, when the purchase was born from something the customer sent: the type
(document, text or audio), the original with what Vendria read from it, the source
  and the date. See [Check the quote against the document the customer sent](/en/ajuda/conferir-contra-o-documento-original);
- the purchase's **Customer and seller**;
- **Purchase items**: all the lines of all the orders in a single table.

**Orders in this Purchase**, **Customer and seller** and **Purchase items** open and
close with a click on the title, like the boxes on the order page; the arrow on the
right shows whether the section is open. **Orders in this Purchase** starts open.
**Customer and seller** starts closed, with the customer's and seller's names in the
title, and so does **Purchase items**, with the **Purchase total** in view.
When closed, the title of **Orders in this Purchase** says how many orders need attention.

## The issues: counted on the order, resolved in it

The purchase page only counts. Each order shows an amber mark, **N
issues**, which adds up everything that calls for action in it: reading open questions, general
open questions of the purchase (such as the customer one or the CNPJ one, which appear on every
order), lines off the packaging multiple, lines with zero quantity,
blockers and serious notices to confirm, and the store below the minimum order.
On a computer, hover over the mark to see what it is made of. To
resolve, click the card: it is on the order page that each issue appears with
its choice, on any device. A store below the minimum order also
locks **Confirm all**, and the mark says so.

This page summarizes and acts in batch. Editing a line always happens on the
order page: click its card.

## Confirm all

**Confirm all (N)** confirms at once every order in the purchase that has not
been confirmed yet. The number in parentheses is how many will be confirmed.

1. Click **Confirm all (N)**.
2. If the store sends orders to the ERP, check the **This order will be written
to your ERP** window and confirm.
3. Read the messages: one says how many orders were confirmed; another, when
there is one, says *"N notice(s) recorded on N order(s): … Open each order
to read the confirmation record."*; and each order that did not get into the ERP
   gets its own message.

⚠️ The purchase closes whole or not at all. If an order cannot be assembled, the
confirmation of all of them is refused. That is why, when a store is below the minimum
order and does not accept going below it, the button is already gray, and that store's order
counts the issue in its mark. Add items to it, or confirm the orders
one by one.

The other issues warn but do not block: they are resolved inside each
order.

## Reject all

**Reject all (N)** archives at once the orders not yet confirmed. The screen
asks *"Reject the N order(s) in this purchase?"* and offers an optional reason
field, which stays in each order's history. Cancelling the question rejects
nothing; confirming with the field empty rejects with no reason.

An order that can no longer be rejected (already confirmed, for example) is reported
separately: *"COT-… could not be rejected (…)"*.

## Add another store to the purchase

When the customer also wants products from a store that is not in the purchase yet,
use **Add another store to this purchase**, to the right of the **Orders in this Purchase** title:

1. Click **Add another store to this purchase**.
2. In **Choose the store…**, select the store.
3. The message *"Order from <store> created in this purchase"* confirms it. The new order
appears in the list, empty and as a draft, with the purchase's commercial conditions.
4. Open its card to add the items.

Only the stores you reach and that do not have an order in this purchase yet appear.
If there are none, the link does not appear. Once confirmed, the purchase does not
take a new store.

## The purchase's customer: Set in the purchase

In a purchase, there is a single customer for all orders. That is why, on the page of an
order that is part of a purchase, the customer is not chosen there: the
**Set in the purchase** link appears (or **Change in the purchase**, if there is already a customer), which brings you
to this page.

Here, use **Set customer** (or **Change customer**). The choice applies to all
orders and recalculates the totals: the message is *"Customer linked — totals
updated"*. If the orders have different customers, the section is called
**Purchase customers**, lists each customer with how many orders they have, and warns:
*"Setting a customer here applies to the whole purchase: orders with another
customer become this one's, and the totals are recalculated."*

With the **Customer and seller** section closed, the title shows the customer's name and
the seller's, and the CNPJ check in the ERP stays in view.

After any order of the purchase has been confirmed, the customer no longer changes.

## The purchase's seller

The seller section shows who is responsible for the purchase. When the purchase is in
a rep agency's queue, with no seller, its members see **Take over**. The
Partner and the Administrative member also see **Distribute** (or **Change seller**),
with the **Hand over to** list, and **Return to queue**, which releases the seller and
returns the purchase to the rep agency's queue. All of this applies to the whole purchase.

## When your company treats each order as independent

Some companies prefer that the orders of a purchase stay separate. In this
mode, set by the administrator, the purchase page has no **Download all**,
**Reject all** or **Confirm all**, and no customer section: each order
card shows the **Customer**, the **Seller** and the customer's ERP code at
that store, and each order is confirmed, rejected and gets its customer on its own
page.

## The Purchase items table

**Purchase items (N)** starts closed: click the title to open it. It gathers
the lines of all the orders, with the columns
**Store**, **SKU**, **Product**, **Qty**, **Unit price** and **Total**. The line's
store is a shortcut to its order. **to be defined**, in amber, means that
nobody has decided yet which store the line belongs to. **Code not found** is an item
outside the catalog. Below, the **Purchase total**; when the purchase has more than one
customer, it is marked as *"reference sum: each order is invoiced on its own"*. The total
appears even with the table closed.

## Reopen, duplicate and download

- **There is no "Reopen as draft".** A confirmed order does not go back to being a quote.
To redo it, open one of the orders and use **Other actions** → **Duplicate**. In a
purchase, the screen asks the scope: **This order only** (*"a new quote, outside
any purchase"*) or **The whole purchase** (*"all the orders you can reach, in a new
purchase"*). The copy is born as a draft and the original does not change.
If any order belongs to a customer outside your portfolio, **The whole purchase** is
unavailable, with that reason. See [Duplicate and revise a quote](/en/ajuda/duplicar-e-revisar-uma-cotacao).
- **Download all** downloads the orders in a .zip. See [Download the quote as PDF, Excel or CSV: the Export menu and the templates](/en/ajuda/baixar-a-cotacao-pdf-excel-e-modelos).

## Common questions

- **Confirm all is gray.** A store is below the minimum order (its order
counts the issue in the amber mark), or you cannot write to the ERP of this
store (the note right below the buttons says who confirms).
- **I confirmed all and one order was left out.** Read the messages: the order that
could not be confirmed appears with the reason. Open it to resolve.
- **The new order of the added store does not appear in the Quotes list.** The list
hides orders with no items. It appears here in the purchase; add the items.
- **I don't see the batch buttons.** Your company treats the purchase's orders as
independent, or all the orders have already been confirmed.
